About the Role

We are looking for an Executive Assistant who functions as a true execution partner — not a passive task-taker. This person will be embedded in the day-to-day operations of a growing business, owning key workflows across administration, client communication, podcast coordination, and marketing support.

Scope of Work

Administrative & Operational Support

• Email organization and document filing

• Spreadsheet tracking and updates

• CRM updates and contact tagging

• Task entry and management based on assigned priorities

Client Communication

• Responding to client emails using provided templates and guidelines

• Handling scheduling, confirmations, and follow-ups

• Escalating complex or sensitive situations to the appropriate person

Podcast & Content Support

• Coordinating guest scheduling and logistics for podcast episodes

• Supporting content repurposing workflows

Tools & Systems

We operate within the following platforms. Candidates must be comfortable with Google tools and demonstrate the ability to quickly learn additional systems:

• Google Workspace — Gmail, Drive, Calendar

• CRM: White-labeled GoHighLevel (GHL) — training provided if not already familiar

• Task Management: ProofHub

• Content Tools: OpusClip

Communication & Work Style Expectations

• Tasks are typically assigned via email and must be executed accurately and on time

• The assistant will enter and track tasks within our project management system

• A daily summary report is required at the end of each shift, covering:

• Tasks completed that day

• Any open questions or blockers

• What is in progress or queued next

• When in doubt — pause and ask. We value accuracy over speed.
