Scope of the role:
We’re looking for a reliable, detail-oriented, and highly organized Junior Executive Assistant to support day-to-day administrative and coordination tasks.
This is an execution-focused role — not strategy. Your job is to keep things organized, ensure tasks are completed, and support the team with consistency and accuracy.
If you’re someone who is dependable, proactive with small tasks, and takes pride in getting things right – this role is for you.
Responsibilities:
• Manage calendars: Schedule meetings, coordinate across time zones, and prevent conflicts
• Support inbox management: Organize emails, flag priorities, and draft simple responses
• Handle administrative tasks: Data entry, document formatting, and file organization
• Track tasks and deadlines: Update tools like Notion, Asana, or ClickUp and follow up with team members
• Assist with research: Conduct basic online research and compile information clearly
• Support daily operations: Help ensure nothing falls through the cracks across ongoing tasks
• Assist with travel & logistics: Book meetings, organize itineraries, and track basic expenses
Requirements:
• 1-3 years of experience in an executive assistant or virtual assistant
• Strong organizational skills and high attention to detail
• Clear written and verbal English communication
• Ability to work consistently during EST (Eastern Standard Time) hours
• Experience working with tools like Google Workspace and Microsoft Office management platforms
• Reliable internet connection and work setup
Who you are:
• Reliable: You follow through on tasks and don’t miss deadlines
• Detail-oriented: You catch small mistakes others overlook
• Organized: You like structure, checklists, and keeping things in order
• Responsive: You communicate clearly and don’t disappear during work hours
• Coachable: You take feedback well and improve quickly
• Proactive (at your level): You don’t overthink — you take action on assigned tasks
