Job Description

Executive Assistants support senior leadership at Riot Games as a strategist, consultant, and implementer. They ensure that streamlined activities within the organization based on the priorities of senior leaders and their teams are met. Executive Assistants also handle the daily management of complex work-flows such as relationship management, schedule oversight, food and beverage planning for meetings, and coordination of travel. They are important to senior leadership business matters, crafting necessary communications to all partners, and identifying situations that could affect the success of leadership’s commitments.

As the Executive Assistant III, Animation, you will report to our Global Head of Operations - Film/TV Animation and support our Head of Animation Studio. You will play a critical role in supporting our Animation executives as an experienced and trusted partner, anticipating the needs of your manager and their teams. Your goal is to help them stay focused on their projects by resolving operational and administrative issues before they arise. In addition to being organized and analytical, you will use your strong business judgment, interpersonal, and communication skills to interact with a variety of internal and external contacts across job functions and levels. This is an hourly role and periods of overtime might be requested.

Responsibilities:

• Heavy focus on calendar and time balancing time demands by managing ever changing priorities and proactively identifying situations assisting successful execution of the leaders’ commitments.

• Provide context for scheduled meetings and prepare any necessary materials and/or notes

• Track and understand status and blockers for priority projects and provide administrative support as needed

• Coordinate 1:1s and team meetings

• Lead logistical support for team meetings, events, and offsites (live and remote) as well as act as the main POC for the team space with Facilities

• Fulfill team requests for supplies, IT access and tools to ensure team productivity

• Act as first point of contact for basic technical support and partner with IT to resolve varying equipment and connectivity issues

• Develop an understanding of priorities to ensure the executives’ daily productivity

• Handle confidential information and make educated decisions regarding what is appropriate to share and with whom, for business purposes

• Effectively collaborate with Associate Producers, as well as build great and durable relationships with key external clients and their business offices

• Learn all internal systems such as procurement, legal and other groups

• Prepare and submit expense reimbursements

• Coordinate travel, including complex international itineraries

• Provide limited support on occasional personal administrative matters as needed. (5-10% of time)

Required Qualifications:

• 8+ years experience supporting senior leaders as an Administrative/Executive Assistant

• Strong verbal and written communication

• Organizational agility with executive & business acumen

• Google Suite expertise with troubleshooting abilities (Calendar, Docs, Sheets, Slides, Forms, etc.)

• Video conference configuration expertise across different video conferencing platforms (Zoom, Google Meet, etc.)

• Ability to apply discretion and keep information confidential

• Proficient project management skills

Desired Qualifications:

• B.A. or B.S. degree

• Excellent interpersonal skills, ability to effectively communicate across all levels of seniority

• Natural problem solver, initiative and drive to work towards a solution
