With your organizational skills you'll support our executive leadership team to achieving their goal of being an effective and inspiring leadership team for a growing SaaS organisation. This role is key to keeping our organization running smoothly. Join our dynamic team at our headquarters in Delft!

What will you do as an executive assistant?

As our executive assistant, you make sure things are running smoothly for the TOPdesk executive leadership team. Your role covers five key areas. First, you make sure calendars are well organized. You coordinate meetings and help the executive team stay on top of their busy schedules. Thanks to your overview and planning skills, everyone knows where they need to be and what’s coming up next.

You’re also the go-to person when it comes to preparing board meetings—taking clear minutes and making sure action points end up with the right people and are followed up accordingly. You handle confidential information with care, and you’re ready to respond quickly if something urgent comes up.

Travel plans? No problem. You arrange trips to our eight offices worldwide, ensuring everything is sorted so our team can focus on their work.

Lastly you will play a key-role in the organisation of events such as offsites and meetings in close collaboration with our internal communications, event management and project management teams.

At our headquarters in Delft! TOPdesk is an internationally growing software and consultancy company and developer of the best service management tool in the Netherlands. With over 800 colleagues in 8 countries we work together every day to make our customers’ services better, smarter and more fun. The primary language of communication within our international organisation is English.

Your team

Together with one other Executive Assistant you will support our CEO and seven board members, each responsible for their specific Domain. In this role you will support the Chief Marketing Officer, Chief Revenue Officer, Chief Customer Officer and the Chief Technology Officer. You will report to our Chief of Staff.

 

• 2+ years of experience in a similar role is essential

• You are comfortable coordinating the needs and schedules of C-level Executives
• You have experience making minutes, creating board packs, both manually and digitally.
• You have strong communication skills and are assertive when needed.  
• You have at least a B2 level of Dutch and are fluent in English.
• You are flexible, resilient and able to plan and organize like no other, with a strong sense of responsibility and integrity.
• You are comfortable being in the office as well as having a day of concentrated work at home every now and then.
• You have a bachelor’s degree or equivalent level of working.
