Executive Assistant – Citizens’ Council

Position Status: Full Time (40 hrs per week), Permanent
The Otipemisiwak Métis Government is seeking a full-time Executive Assistant to provide direct, day-to-day administrative and coordination support to the Citizens’ Council. This position plays a key role in supporting the effective functioning of the Citizens’ Council by managing logistics, communications, and administrative processes in alignment with established governance practices. Reporting to the Manager of Government Administration within the Self-Government Department, the successful candidate will work closely with elected officials, senior leadership, and internal departments to support Council operations. This role requires a high level of professionalism, discretion, organization, and the ability to work both independently and collaboratively in a fast-paced and culturally grounded environment.
The Self-Government Department is responsible for implementing the commitments set out in the Otipemisiwak Métis Government Constitution and advancing the transition toward self-government for the Métis Nation within Alberta.
The Citizens’ Council includes the President, one Citizens’ Representative per District, one Provincial Women’s Representative and one Provincial Youth Representative. They are responsible for representing the rights, interests, and claims of the Citizens of the Métis Nation within Alberta and for advancing the purpose, goals, and responsibilities of the Otipemisiwak Métis Government.
Key Responsibilities
Assist with administrative tasks related to supporting the Citizens’ Council of the Otipemisiwak Métis Government.
Coordinate and book travel, including booking hotel accommodations and transportation.
Coordinate material distribution between departments of the Otipemisiwak Métis Government and the Citizens’ Council.
Support with planning, organizing, coordinating, and implementing various operational programs and events.
Assist with scheduling, preparation, set-up, and take-down of in person and virtual meetings and conferences, including venue bookings, arranging catering, and setting up audio-visual equipment.
Confirm and accurately track attendance for Citizens’ Council meetings.
Review documents, reports, invoices, and correspondence prepared for sign off by Executive Leadership, and edit and distribute them as directed.
Answer incoming phone calls and telephone inquiries with tact and professionalism.
Support logistical coordination and procurement of materials and supplies for meetings, events, and general office use.
Follow finance management procedures for processing purchase orders (PO’s), creating cheque requisitions, and processing expense claims.
Track allocated allowances for expenses within the Elected Officials Travel and Expense Policy and avoid duplicate expenses being issued.
Develop and maintain relationships with internal and external stakeholders including, but not limited to, the Executive Department, management, employees, Métis community, and business partners.
Present a positive and professional image of the organization when interacting with all stakeholders.
Other duties as required or assigned.
Skills and Competencies
Recognized strength in supporting teams and providing administrative support to add to organizational capacity.
Strong computer skills with the ability to adapt to new technology and software.
Proficient in Microsoft Office programs (including Word, Excel, and PowerPoint).
Ability to produce professional documents, reports, and presentations.
Ability to effectively maintain filing systems, databases and tracking processes.
Superior written and verbal communication skills, including professional email etiquette.
Strong planning and organizational skills, with an ability to organize and prioritize daily tasks and long-term objectives.
Excellent interpersonal skills, with the ability to build strong relationships.
Ability to work independently as well as part of a team.
Flexible and adaptable, with an ability to switch between multiple priorities within a diverse and fast-paced environment.
Strong sense of ethics and the ability to maintain a high level of confidentiality in all interactions.
Political and cultural sensitivity.
Knowledge of Métis history, culture, and issues affecting Métis people. An in-depth understanding of the Otipemisiwak Métis Government and Métis culture is an asset.
Qualifications
Post-secondary degree/diploma/certificate in Business Administration or education in a related field. Other relevant training and experience will be considered.
Minimum five (5) years of experience in a similar administrative role, preferably within a government, non-profit, or Indigenous organization.
Other Requirements
Position is based in Edmonton; in-office presence is required.
Ability to work a regular schedule of Monday – Friday, 8:30 AM – 4:30 PM, as well as occasional evenings and weekends with notice.
Ability to travel throughout the province of Alberta and possibly out of province.
Reliable transportation and a valid Class 5 Driver’s License is required.
