We are seeking a highly capable and proactive Executive Assistant (Business Operations) to primarily support our Calgary-based Partners. In this role, you will act as a trusted partner to a Managing Partner and their Pod, bringing structure, collaboration, and follow-through to key business priorities.
This is a full-time hybrid position based in Calgary, with an expectation of regular in-person collaboration with local leadership (e.g., weekly). Our Calgary team operates out of a WeWork office at Stephen Avenue Place, where you will typically work onsite approximately two days per week.
In addition to supporting the Calgary Pod, you will be part of RLG’s Global Support (administrative) team, working closely with our Vancouver head office and broader network of administrative professionals to ensure consistency, coverage, and shared best practices across the organization.
As an Executive Assistant, you will:
Provide Executive & Pod Support
Serve as the primary administrative support to a Calgary-based Managing Partner, supporting 2–3 additional Partners and aligned Team Leads.
Manage complex calendars, shifting priorities, and commitments across multiple stakeholders.
Anticipate needs and ensure timely follow-through on actions, communications, and deadlines.
Coordinate travel details, meetings, and in-person sessions, including local Calgary-based interactions.
Build strong working relationships and become a trusted member of the team.
Support Business Operations & Coordination
Support day-to-day Pod operations, ensuring alignment across people, priorities, and workflows.
Maintain organized systems, files, and documentation within Microsoft 365.
Provide administrative support for logistics.
Support Business Development
Prepare proposals, presentations, and client-facing materials with guidance.
Coordinate pursuit activities, meetings, and follow-ups.
Maintain CRM updates.
Conduct research to support client opportunities and internal initiatives.
Enable Communication & Stakeholder Coordination
Prepare clear, concise, executive-ready communications.
Coordinate agendas, pre-reads, and follow-ups to ensure clarity and accountability.
Support internal communications and occasional LinkedIn or corporate messaging.
Collaborate with the Global Support Team
Partner closely with the Vancouver head office admin team and broader Global Support network.
Provide backup and cross-coverage support across regions as needed.
Contribute to enterprise initiatives, events, and continuous improvement of administrative practices.
Ensure alignment with RLG tools, processes, and standards.
You will thrive in this role if you bring:
5+ years of experience in an Executive Assistant, business operations, or senior administrative role (ideally in consulting or professional services).
Strong organizational skills and proven ability to anticipate needs, manage competing priorities, and operate independently in a fast-paced environment.
Data-driven mindset, with the ability to organize information, track priorities, and support decision-making with clear insights.
Comfortable using modern digital tools, including AI-enabled productivity tools (e.g., Copilot, ChatGPT), to enhance efficiency and output quality.
High proficiency with Microsoft 365 (Outlook, Teams, SharePoint, PowerPoint, Excel).
Excellent written and verbal communication skills, including preparation of executive-level materials.
Experience supporting client-facing work.
Confidence working with senior leaders and across distributed teams.
Sound judgment, professionalism, and discretion with confidential information.
Comfort working remotely while maintaining strong local and team connectivity.
