We are seeking a highly organized and proactive Executive Assistant to support senior leadership in managing day-to-day operations, with a strong focus on travel planning, scheduling, and booking systems. This role is ideal for someone who thrives in a fast-paced environment, demonstrates exceptional attention to detail, and can handle multiple priorities with efficiency and professionalism.
Requirements:
Key Responsibilities:
• Manage complex calendars, including scheduling meetings, appointments, and events across multiple time zones while ensuring optimal time utilization.
• Coordinate end-to-end travel planning, including domestic and international itineraries, flight bookings, hotel reservations, ground transportation, and visa arrangements.
• Utilize various booking systems and tools to secure cost-effective and efficient travel plans while adhering to company policies.
• Proactively anticipate scheduling conflicts and resolve them with minimal disruption to business operations.
• Organize and prepare for meetings, including drafting agendas, taking minutes, and following up on action items.
• Maintain accurate records of travel expenses, itineraries, and reimbursements in line with company guidelines.
• Serve as a point of contact between executives and internal/external stakeholders, ensuring smooth communication and coordination.
• Handle confidential information with discretion and maintain a high level of professionalism at all times.
• Support administrative tasks such as document preparation, report compilation, and data management as needed.
Required Skills & Qualifications:
• 2–4 years of proven experience as an Executive Assistant or in a similar administrative role.
• Strong expertise in travel planning, including familiarity with global travel requirements and itinerary management.
• Proficiency in scheduling tools (such as Google Calendar or Outlook) and experience using booking systems for flights, hotels, and transportation.
• Excellent organizational and time management skills with the ability to prioritize effectively.
• High attention to detail and accuracy in managing schedules and travel arrangements.
• Strong communication skills, both written and verbal, with the ability to interact confidently with senior stakeholders.
• Problem-solving mindset with the ability to adapt quickly to changing priorities.
• Proficiency in MS Office Suite (Word, Excel, PowerPoint) and other administrative tools.
Preferred Attributes:
• Experience supporting senior executives or leadership teams.
• Familiarity with expense management tools and corporate travel policies.
• Ability to work independently while maintaining a collaborative approach.
