The Executive Assistant / Administrative Assistant provides high-level administrative and operational support to executives and senior leaders, acting as a strategic partner to ensure day-to-day efficiency, effective execution of priorities, and seamless communication across internal and external stakeholders.
This role requires a highly organized, proactive professional with strong communication skills, capable of managing multiple priorities in fast-paced and evolving environments while maintaining the highest standards of confidentiality, professionalism, and follow-through.
Key Responsibilities Executive & Administrative Support
• Manage complex executive calendars, prioritizing meetings and optimizing time usage.
• Monitor and manage emails, calls, and incoming requests, ensuring proper prioritization and follow-up.
• Coordinate domestic and international travel, itineraries, meetings, and logistics, including multiple time zones when required.
• Prepare meeting agendas, presentations, reports, briefings, and executive summaries.
• Track action items, commitments, and deadlines to ensure timely execution and closure. Communication & Coordination
• Serve as the primary point of contact between executives and internal teams, clients, vendors, and strategic partners.
• Draft, edit, and manage professional communications on behalf of the executive, including emails, memos, and internal updates.
• Ensure clear, organized, and timely communication across departments and stakeholders.
• Maintain well‑organized digital files, documentation, and records. Operational & Project Support
• Support the coordination and execution of projects and cross‑functional initiatives.
• Translate high‑level direction into structured tasks, timelines, and ownership.
• Identify administrative and operational inefficiencies and propose process improvements.
• Update CRMs, trackers, spreadsheets, and internal systems as needed.
• Professionalism & Confidentiality
• Handle sensitive and confidential information with excellent judgment and discretion. Consistently represent organizational values, professionalism, and executive presence.
Qualifications Experience
• 2–5+ years of experience as an Executive Assistant, Administrative Assistant, or in a similar support role.
• Proven experience supporting executives, founders, or senior leadership.
• Experience in fast‑paced, high‑growth, or multi‑functional environments is a plus.
Education
• Studies in Business Administration, Management, Executive Secretarial Studies, or related fields (preferred but not required).
Technical Skills
• Proficiency in Microsoft Office and/or Google Workspace (Outlook, Word, Excel, PowerPoint, Calendar).
• Experience using CRMs, administrative platforms, or task management tools is a plus.
• Strong document management, reporting, and basic data‑tracking skills.
• Ability and willingness to quickly learn new tools and systems.
