Job Description:

ProArch is seeking a reliable and organized Admin Executive with 2–4 years of hands-on experience in office administration and travel coordination. The role involves managing travel bookings, verifying bills, maintaining trackers, handling courier operations, coordinating with office assistants, and supporting day-to-day administrative activities including office supplies, snacks, and small event arrangements.

Key Responsibilities:

Travel & Accommodation Coordination

• Coordinating with Travel Agent and Book flight tickets, hotel bookings, and local transportation.
• Coordinate travel schedules, changes, cancellations, and confirmations.
• Ensure travel bookings comply with company policies and cost guidelines.
• Maintain travel trackers and related documentation.

Courier & Logistics Management

• Handle courier dispatch (outward) and inward tracking.
• Maintain courier logs and ensure timely delivery and receipt confirmations.
• Coordinate with courier vendors for pickups, deliveries, and issue resolution.

Office Administration & Coordination

• Coordinate with office assistants for daily administrative tasks.
• Ensure availability of office pantry items, snacks, and refreshments.
• Support meeting room arrangements and office upkeep activities.
• Act as a point of contact for employees for admin-related support.

Events & Engagement Support:

• Assist in organizing small office events, meetings, and internal gatherings.
• Coordinate logistics such as snacks, seating, and vendor support for events.
• Ensure smooth execution of day-to-day office activities.


Requirements:
Skills & Qualifications

• 2–4 years of experience in Administration / Travel Desk / Admin logistics.
• Hands-on experience in travel booking (tickets and hotels).
• Experience in bill verification and tracker maintenance.
• Proficiency in MS Office (Excel, Word, Outlook).
• Good communication and coordination skills.
• Strong organizational and multitasking abilities.
• Attention to detail and problem-solving mindset

Preferred Qualifications

• Experience coordinating with multiple vendors and internal teams.
• Exposure to corporate office administration.
• Prior experience in event coordination is an added advantage.
