As our global events portfolio continues to grow, we need experienced event leadership to ensure every program is executed with precision, creativity, and operational discipline. The Senior Event Specialist will play a critical role in delivering world-class experiences across conferences, customer events, and brand activations while helping elevate the overall quality and consistency of our event program.
This role exists because our events strategy demands both scale and excellence. Your work will directly influence how prospects experience our brand, how customers engage with our platform, and how our teams convert event momentum into measurable business growth.
What you’ll manage:
As an Event Specialist, you will support the execution and operational leadership of Neostella’s global event portfolio—helping deliver approximately 35 events annually across conferences, customer summits, and strategic activations.
You’ll own the planning and execution of complex productions, ensuring that timelines, vendors, and production elements are tightly managed from initial concept through on-site delivery. This includes coordinating staging, AV, immersive experiences, and sponsor activations to create high-quality, memorable experiences for attendees.
You will also contribute to the operational infrastructure behind our events program—helping develop scalable playbooks, processes, and vendor partnerships that allow our portfolio to grow while maintaining high production standards. This role requires a senior operator who can translate ambitious strategy into flawless execution while managing multiple high-stakes events simultaneously.

You are highly organized, detail-oriented, and comfortable managing multiple moving parts—from vendor negotiations and budget oversight to on-site production leadership.
You understand how to translate brand narrative into memorable experiences that engage customers, elevate sponsors, and support broader go-to-market objectives. You bring both strategic awareness and operational excellence—ensuring events not only look great but also deliver measurable impact.
Most importantly, you take ownership. You anticipate challenges before they arise, bring solutions proactively, and consistently deliver high-quality experiences that reflect the Neostella brand.
Key Responsibilities:
• Support and lead end-to-end production for large-scale conferences and proprietary events across the global events portfolio
• Develop and manage detailed event timelines, production plans, and run-of-show structures
• Oversee staging, audiovisual production, immersive elements, and on-site execution logistics
• Serve as on-site production lead for Tier 2 events and co-lead for Tier 1 flagship events
• Build and manage a strong vendor ecosystem, including production partners, agencies, and venue contacts
• Negotiate vendor contracts and manage costs while maintaining high production quality
• Track and manage event budgets with strong financial discipline and transparency
• Translate brand narrative and strategic objectives into engaging, customer-centric event experiences
• Elevate sponsor activations and executive stage experiences to maximize engagement and impact
• Ensure consistency in event quality and experience across all tiers of the events portfolio
• Identify opportunities to innovate and optimize event formats as the program scales
• Support the development of scalable playbooks, processes, and operational frameworks for event execution
Requirements:
• 5+ years of progressive experience in B2B event management or production
• Proven experience leading complex, high-budget event productions
• Strong vendor negotiation skills and experience managing event budgets
• Ability to manage multiple high-stakes events simultaneously in a fast-paced environment
• Experience executing conferences, customer events, and large-scale activations
• Strong organizational and project management skills with exceptional attention to detail
• Comfort operating in high-growth environments where priorities evolve quickly
• Excellent communication and collaboration skills across cross-functional teams
• Strong English fluency (written and spoken)
