As Events & Engagement Specialist within our Global Meetings & Events team, you’ll be responsible for the seamless execution of a wide range of internal and external events, as well as managing engagements with healthcare professionals and external experts. This role requires strong coordination, compliance awareness, and stakeholder collaboration to ensure impactful, efficient, and compliant event delivery across regions.

Main responsibilities:

• Strategic Partnerships & Event Delivery: Partner directly or through third-party agencies with transversal brand teams, creative agencies, HCOs, associations, and exhibit vendors to deliver a seamless, end-to-end event experience that meets or exceeds the expectations of both internal and external stakeholders. Plan and oversee various types of meetings, proactively identifying potential risks to implement timely mitigation strategies. Coordinate logistics arrangements closely with third-party agencies to ensure all stakeholder needs are met.

• End-to-End Event Lifecycle Management: Manage remote meetings through local vendors while providing comprehensive technical and analytical support for hybrid and virtual meeting formats. Depending on event type, oversee or directly manage activities related to SEE/HCO/patient engagement for event-related services—from event creation and approval through invitations, contract signatures, financial approvals, post-event invoicing, and transparency disclosures.

• Financial Management & Reporting: Ensure effective financial reconciliation and deliver thorough post-event reporting to identify cost efficiencies and drive continuous process improvements.

• Cross-Functional Collaboration: Partner with key stakeholders including Compliance, Legal, and Contracting teams to ensure proper contract execution and regulatory alignment. Build and nurture strong relationships with stakeholders to streamline processes, foster trust, and ensure effective collaboration within assigned Therapeutic Areas.

• Technology Expertise & Training: Serve as a subject-matter expert for event technology platforms, leading implementation and user training initiatives. Provide technical support and data analysis using tools such as Salesforce, OneCRM, and Cvent.

• Compliance & Policy Adherence: Ensure strict adherence to company policies, with particular emphasis on transparency and compliance requirements.

About you
 

• Experience: Previous experience related to event planning, contracting or operational support.

• Soft and technical skills: Strong stakeholder engagement, attention to detail, customer orientation and adaptability. Able to work independently in a fast-paced, multicultural environment with urgency and accountability. Proficiency in Microsoft Office suite. Hands-on experience with tools like Veeva Vault CRM, Cvent or similar event/contracting platforms is strongly preferred.

• Education: Bachelor’s degree is required.

• Languages: Advanced English level is required.
