Organization Profile
NESsT is an international nonprofit organization with offices in Latin America and Europe, and a global leadership team based in the U.S. Its main goal is to transform lives by investing in social enterprises that provide decent employment to vulnerable communities while being environmentally sustainable.
NESsT Colombia began operations in July 2025 and currently has a growing team. As part of its organizational strengthening strategy and engagement with partners, it requires the hiring of an expert in event planning to coordinate two key gatherings in April 2026:
Management Retreat (internal leadership meeting) – April 13–15, 2026
Social Enterprises Gathering – IKEA Project – April 20–21, 2026
Purpose of the Contract
Hire a professional specialized in event planning and management to design, organize, and fully execute the two mentioned gatherings, ensuring logistical quality, achievement of objectives, and a positive experience for participants.
Scope of Services
The event planner must:
Prepare and present the work plan and schedule for each event.
Coordinate comprehensive logistics: venues, transportation, lodging, catering, technical equipment, and materials.
Design the event experience (agenda, ambiance, participation dynamics).
Manage suppliers and related contracts.
Supervise setup, execution, and closing of each event.
Technical Requirements for the Planner
Degree in Administration, Communications, Hospitality/Tourism, Event Production, or related fields.
Minimum of 3 years of experience in planning and executing corporate events.
Proven experience in hybrid/in-person events with more than
Knowledge in contracting and managing logistics service providers.
Soft skills: effective communication, organization, creativity, attention to detail, and problem-solving.
Desirable: experience with social or nonprofit organizations.
Intermediate-advanced English (for interaction with the global team).
Comply with the defined schedule and quality standards.
Provide qualified personnel for execution.
Ensure confidentiality of NESsT and partner information.
Deliver progress reports.
Conduct at least one results-sharing meeting with NESsT.
Responsibilities of NESsT
Provide access to necessary information and contacts.
Approve the work plan and schedule.
Ensure staff participation in preparation activities.
Fulfill agreed payment commitments.
Contract Duration
Service contract executed during April 2026:
Management Retreat: April 13–15; 15 people
Social Enterprises Gathering – IKEA Project: April 20–21; 40 people
Fees and Payment Method
Payments will be made upon delivery and approval of the final reports for each event, under the issuance of an invoice.
Documents Required for Application
ID of the applicant (individual) or legal representative (legal entity).
Updated RUT and Chamber of Commerce registration.
Certificates of experience in event planning.
Technical and financial proposal.
Execution schedule.
Performance Evaluation
Quality and relevance of event design and execution.
Compliance with the established schedule.
Satisfaction level of NESsT leadership, team, and participating partners.
General Conditions
NESsT reserves the right to accept or reject any proposal.
The contract will be awarded to the proposal that meets the technical requirements and offers the best cost-benefit ratio.
The selected planner must sign a confidentiality clause regarding the reviewed information.
