Position Summary
The Estimator & Quotation Coordinator plays a key role in driving revenue growth and project success for Harbour Door Services. Reporting to the Branch Manager, this position is responsible for preparing accurate and competitive quotations for residential and commercial overhead door projects, including municipal and institutional RFP/RFQ submissions.
The role involves reviewing drawings and specifications, conducting site visits, performing measurements, confirming structural suitability, coordinating with suppliers, and preparing detailed cost estimates for supply and installation of overhead door systems, operators, and related components.
The Estimator ensures that bids are technically sound, commercially competitive, and aligned with the company’s operational capabilities and profitability targets.
Key Responsibilities:
Estimating & Quotation Preparation
Review tender documents, architectural drawings, specifications, and bid packages for residential, commercial, industrial, and municipal projects.
Prepare accurate material and labour take-offs for overhead doors, rolling steel doors, sectional doors, high-speed doors, operators, hardware, and related components.
Analyze project scope and identify inclusions, exclusions, and potential risks.
Prepare detailed written quotations and formal bid submissions.
Respond to customer inquiries and pricing requests in a timely and professional manner.
Submit and manage commercial RFP/RFQ responses, ensuring compliance with submission requirements and deadlines.
Maintain and update pricing databases, supplier cost sheets, and historical project data.
Site Visits & Technical Assessment
Conduct on-site measurements and inspections of residential and commercial properties.
Assess structural conditions to confirm that openings and supporting structures are suitable for proposed door systems.
Identify potential installation challenges and coordinate with operations staff to confirm constructability.
Provide customers with technical recommendations on appropriate door systems and operator solutions.
Confirm electrical requirements, headroom, side-room, and other critical installation dimensions.
Supplier & Project Coordination
Liaise with manufacturers and suppliers to obtain current pricing, lead times, and technical specifications.
Coordinate with installation teams and service staff to confirm labour estimates and scheduling assumptions.
Support project handover following award by ensuring accurate documentation, scope clarity, and job costing information.
Assist with change orders and revised pricing when project scope changes.
Sales & Business Development Support
Proactively identify and pursue bid opportunities through tendering platforms and industry contacts.
Build and maintain relationships with builders, general contractors, property managers, and municipal clients.
Support the Branch Manager with sales forecasting and pipeline tracking.
Contribute to continuous improvement of estimating processes and pricing strategies.
Qualifications & Experience
2–5 years of estimating experience in construction, overhead door systems, building products, or related trades preferred.
Experience with commercial and municipal tendering processes considered a strong asset.
Strong ability to read and interpret architectural and structural drawings.
Working knowledge of overhead door systems, rolling steel doors, and commercial operators preferred.
Strong mathematical aptitude and attention to detail.
Excellent organizational skills with the ability to manage multiple bids and deadlines simultaneously.
Self-motivated, solution-oriented, and comfortable working independently.
Strong written and verbal communication skills.
High level of integrity and accountability.
Proficient in Microsoft Office (Excel, Word, Outlook); experience with estimating software is an asset.
Valid Class 5 Driver’s License (site visits required).
