USAC is a non-profit, university-affiliate study abroad organization headquartered on the campus of the University of Nevada, Reno. Since 1982, USAC has provided opportunities for students to gain the knowledge, skills, and attitudes necessary to succeed in the global society of the 21st century.
POSITION OVERVIEW
The Enrollment Specialist manages admissions for USAC study abroad programs, providing responsive and student-centered customer service in a fast-paced and collegial work environment. The position responds to general inquires via phone, video calls, and email regarding program opportunities, admissions requirements, and procedures for application and course registration. The Enrollment Specialist reviews and evaluates applications, inputs data and makes admissions decisions in line with established guidelines and criteria, reviewing unusual circumstances with supervisor and resident director as necessary to maximize enrollment while maintaining admissions standards. The position also serves as the primary point of contact for course registration, transcript requests, and general questions regarding USAC academic procedures. Although opportunities to travel may present themselves on occasion, this position does not involve travel.

POSITION TYPE & EXPECTED HOURS OF WORK
This is an exempt position and will be paid on a salary basis. The office hours are Monday through Friday from 8:00 am to 5:00 pm and may fluctuate or additional work hours may be required. Weekend and evening work hours may also be required. The opportunity to work remotely two days per week may be considered after the initial 90-day training period
GENERAL RESPONSIBILITIES
Manage enrollment for assigned portfolio of USAC Specialty and Partnership programs; monitor deadlines and proactively follow-up with students to ensure applications and registrations are accurate, complete and processed in a timely manner.
Establish and maintain active communication (primarily via email and phone) with study abroad applicants, universities, resident directors and other USAC staff; respond to inquiries regarding USAC admission processes, course offerings, course registration, and credit transfer. Advise students on appropriate program options based on student interests and academic goals.
Maintain high volume of electronic student files and supporting documentation; compose routine and customized letters; input/retrieve student data and course registrations with information system software; update forms; plan work and establish priorities to ensure timely and responsive communication with all.
Read, interpret and evaluate student’s academic credentials and make admission/denial decisions, seeking outside input when exceptions may be warranted.
Review student’s course registration and academic record to ensure proper placement and fulfilment of course prerequisites, following up with student and Registration Coordinator as necessary to resolve any discrepancies.
Assist students with questions regarding USAC’s registration process and academic policies, and respond to questions about USAC courses and options for academic credit.
Ensure that all activities are conducted within the established guidelines of the Family Educational Rights and Privacy Act (FERPA)
Demonstrate depth of knowledge, familiarity and enthusiasm for assigned programs and program locations, and general knowledge of all USAC programs, processes and the organization as a whole.
Perform assigned responsibilities, duties and tasks according to established practices, procedures, techniques and standards with minimal supervision.

EDUCATION & EXPERIENCE
Bachelor’s degree preferred or Associate’s degree with one year relevant work experience
QUALIFICATIONS & SKILLS
Provide strong customer service at all times, including guiding prospective students through enrollment steps with patience and encouragement, and maintaining a high degree of professionalism in interactions with university staff, resident directors and other USAC staff.
Excellent organizational skills and attention to detail
Strong written and interpersonal communication skills
Ability to ensure high degree of accuracy in a fast-paced work environment
Ability to use critical thinking skills to identify problems and formulate solutions
Demonstrated self-direction and motivation
Demonstrated ability to work effectively both independently, and as part of a team
Proficiency in use of a personal computer and current software applications including Microsoft Office Suite (Word, Access, Excel, PowerPoint and Outlook).
PREFERRED QUALIFICATIONS & SKILLS
Experience studying abroad for three or more weeks; prior participation in a USAC program is highly desirable
Understanding of basic university admission and registration procedures
WORK ENVIRONMENT & PHYSICAL DEMANDS
The duties of this job are mainly performed in a regular office environment with occasional small trips outdoors. While performing the duties of this job, the employee is regularly required to sit, stand, and walk throughout the building. The employee is frequently required to reach with hands and arms. The employee must regularly lift and/or move up to 15 pounds. Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception and ability to adjust focus.
