Job Description: Quartermaster is seeking a highly organized and dependable Administrative Assistant to support our growing team. In this role, you’ll help keep the company running smoothly by managing day-to-day administrative tasks, coordinating meetings and logistics, and supporting team operations across departments. You'll be trusted with a wide range of responsibilities and will play a key role in helping our engineering, product, and leadership teams stay focused and effective. This is an ideal role for someone who thrives in a dynamic, fast-paced environment and enjoys making things work behind the scenes.
Key Responsibilities:
• Coordinate calendars, schedule internal and external meetings, and manage logistics across time zones and departments
• Assist with onboarding for new hires, preparing documentation, organizing workspace setups, and facilitating first-week logistics
• Support travel planning, expense tracking, and itineraries for staff, and deployment teams
• Help manage equipment tracking, supply ordering, and communication with vendors
• Occasionally coordinate shipping and receiving of hardware prototypes, documents, and field kits
• Own end-to-end interview scheduling for multiple roles, including candidate communications, panel coordination, and follow-ups
• Jump in on special projects and evolving startup needs as they arise—whether it’s launching a new workspace, assisting with deployments, or organizing team offsites
Qualifications (Preferred):
• 2+ years of experience in an administrative, office management, or operations support role—ideally in a startup or high-growth tech company
• Experience coordinating interviews or supporting a recruiting process at scale
• Exceptionally organized with strong attention to detail and the ability to juggle competing priorities
• Excellent written and verbal communication skills
• Proficient with tools such as Google Workspace, Slack, Zoom, and Notion (or similar platforms)
• Self-starter who can work independently, maintain confidentiality, and adapt quickly to shifting needs
• Bonus: interest in technology, field operations, or helping build the infrastructure of a world-class team
