Position Overview
We are seeking a highly organized and experienced EBT Calendar Clerk to join our transportation/insurance support team in Brooklyn. The ideal candidate will oversee the firm’s calendaring system, manage court deadlines, and coordinate scheduling for attorneys, EBTs (Examining Board Testimonies), hearings, motions, and other legal events.
This role requires strong attention to detail, excellent communication skills, and the ability to work independently within a high-volume legal environment. Founded in 2000, the firm offers the legal expertise of its 100-plus attorneys, who have accumulated experience and problem-solving skills over decades of practice.
We are a vibrant, busy, and growing full-service law firm looking to add a paralegal/ EBT Calendar Clerk to
to assist and support our Insurance Defense Group in Brooklyn. The ideal candidate will have at least 5 years of experience as a paralegal.
Key Responsibilities
Accurately enter and maintain calendar entries for court deadlines, hearings, motions, conferences, depositions, and EBT schedules in the firm’s case management system.
Monitor and docket all court filings and schedule changes, ensuring compliance with procedural rules and timelines.
Communicate with attorneys, paralegals, court clerks, clients, and opposing counsel regarding scheduling changes, adjournments, or cancellations.
Manage EBT (Examination Before Trial) scheduling: confirm availability of court reporters, attorneys, and deponents; prepare notices; enter all related calendar events.
Review calendars regularly to identify conflicts or potential oversights and escalate issues when necessary.
Generate calendar reports and reminders to attorneys and staff for critical deadlines.
Support docketing and filing tasks as needed, including e-filing through applicable court systems.
Maintain organized and accurate records of all calendaring activity and related documents.
Qualifications
Minimum 5 years of experience working as a calendar clerk, docketing clerk, EBT coordinator, or similar legal scheduling role — preferably in a law firm or litigation environment.
Proficiency with legal calendaring and case management systems (e.g., PC-/MAC based systems, docketing software).
Strong understanding of court rules and deadline requirements for state and federal courts.
Excellent organizational skills and ability to manage competing priorities in a fast-paced setting.
Outstanding verbal and written communication skills.
Strong attention to detail and commitment to accuracy.
Professional demeanor and ability to interact with attorneys and external parties.
Preferred / Optional:
Paralegal certificate or legal administrative training.
Familiarity with NY e-filing systems (e.g., NYSCEF, CM/ECF).
Salary Range (Brooklyn, NY)
For candidates with 5+ years of legal calendaring and scheduling experience:
Approx. $55,000 – $75,000 per year
