Position Summary
The primary role of the Transportation Specialist is to be responsible for coordinating container movement, port scheduling, and intermodal transportation operations for Jacksonville-based freight activity. This role manages vessel cutoff timelines, container control, warehouse flow, and trucking coordination to ensure timely and efficient cargo movement. The ideal candidate thrives in a fast-paced logistics environment and can effectively manage multiple operational priorities and deadlines. Strong communication, organization, and problem-solving skills are essential for success in this position.
Qualification & Requirements
High School Degree required or equivalent required
Two (2) to four (4)
years of dispatching logistics experience required
Strong time management and organizational skills with great attention to detail
Strong written and oral communications skills are essential
Ability to work in a team environment in high pressure situations
Exceptional customer service skills
Strong sense of urgency and ability to carry out assigned tasks with minimal direction or supervision
Schedule: Monday through Friday 6:00am to 3:00pm. Overtime may be required on Monday, Tuesday, and Friday along with weekend & holiday availability per business need.
Responsibilities
In addition to the responsibilities listed below, the Transportation Specialist is expected to perform any tasks or responsibilities assigned by management.
Dispatching / Equipment Coordination (30%)
Coordinate daily container movement, CY (Container Yard) operations, and intermodal equipment planning for Jacksonville-based freight activity
Plan and monitor container pickups, deliveries, port drayage, and warehouse transfers throughout the day
Coordinate door assignments, warehouse flow, and loading schedules to support efficient cargo movement
Monitor loaded versus empty container inventory and equipment availability
Coordinate delivery and pickup activity with HSI Trucking, terminals, warehouses, and internal operations teams
Interact with terminal personnel to confirm equipment availability, port schedules, and vessel cutoff requirements
Execute against all port and terminal deadlines to ensure timely freight movement and vessel loading
Driver / Carrier Communication (30%)
Maintain daily communication with drivers, carriers, and dispatch teams regarding shipment status and scheduling updates
Confirm pickup and delivery appointments with drivers and ensure adherence to operational schedules and port deadlines
Work closely with trucking partners to resolve delays, scheduling conflicts, and operational issues in real time
Monitor daily freight progress and maintain visibility on container movement from pickup through final delivery
Coordinate time-sensitive container returns and terminal appointments to avoid demurrage or detention charges
Establish and maintain strong working relationships with drivers, carriers, terminals, and warehouse personnel
Customer Communication (20%)
Provide professional and timely communication to customers regarding shipment status, ETAs, port activity, and delivery updates
Respond to customer inquiries and support internal and external customer service needs
Maintain accountability for tracking and tracing all assigned shipments and container activity
Coordinate closely with customers, warehouses, trucking providers, and operations teams to ensure service expectations are met
Documentation / Administrative Support / General (20%)
Maintain accurate shipment records including container numbers, work orders, rates, bills of lading, and operational data within internal systems
Ensure all shipment and transportation information is updated and properly documented in company systems
Support invoicing, routing, and operational reporting by providing accurate transportation and shipment details
Verify documentation and shipment information aligns with vessel schedules, port deadlines, and customer requirements
