DocuWare Growth & Pipeline Specialist
Location: Remote | Reports To: DocuWare Practice Lead | Type: Full-Time
Role Summary
This role is ECM Tek's growth engine for its new DocuWare practice. The DocuWare Growth & Pipeline Specialist owns top-of-funnel activity — building digital presence, generating qualified leads, running outbound campaigns, and booking appointments for the Practice Lead. This person does not need to be a DocuWare implementation expert, but must be able to speak credibly about document management, workflow automation, and the value DocuWare delivers in regulated industries. They are a motivated, self-directed digital marketer and business development professional comfortable operating within a small, technical team with no traditional sales infrastructure.
Key Responsibilities
Lead Generation & Outbound Prospecting
Research and build targeted prospect lists within healthcare, financial services, and insurance verticals in the U.S. market
Execute multi-channel outbound campaigns (LinkedIn, cold email sequences, phone follow-up) to generate qualified interest
Qualify inbound and outbound leads and convert them into booked discovery calls for the Practice Lead.
Manage and optimize outreach sequences using tools such as Apollo, Lemlist, HubSpot Sequences, or similar
Digital Marketing & Online Presence
Own and grow ECM Tek's digital presence across LinkedIn, Google, and email marketing channels
Create and publish content (LinkedIn posts, short-form case studies, email newsletters, landing pages) that speaks to DocuWare value propositions in target verticals.
Coordinate with the Practice Lead to develop vertical-specific messaging (e.g., HIPAA compliance for healthcare, audit trails for financial services)
Manage basic SEO and maintain the DocuWare practice page on ECM Tek's website.
CRM & Pipeline Management
Maintain a clean, organized CRM (HubSpot or equivalent) with accurate lead records, follow-up tasks, and pipeline stage tracking
Provide weekly pipeline reporting to the Practice Lead covering outreach volume, response rates, meetings booked, and funnel conversion.
Appointment Setting & Follow-Up
Conduct initial outreach conversations (email/LinkedIn DM/brief calls) to confirm interest and set discovery appointments.
Manage scheduling logistics and send pre-meeting materials (one-pagers, case studies, deck summaries)
Follow up with prospects post-meeting to maintain engagement.
Required Skills & Qualifications
English proficiency: Professional/Fluent (C1 or above) — all client-facing communication is in English with U.S.-based prospects and clients
2–4 years of B2B lead generation, digital marketing, or inside sales experience, ideally in a technology or SaaS environment
Hands-on experience with outbound tools (Apollo, ZoomInfo, Lemlist, Outreach, or similar)
Proficiency with CRM systems (HubSpot strongly preferred)
Comfort with LinkedIn Sales Navigator and content publishing
Basic understanding of document management, ECM, or workflow automation software (DocuWare experience is a plus, but not required — product orientation will be provided)
Familiarity with regulated industries (healthcare, financial services, insurance) is a significant advantage
Strong written communication — ability to write clear, compelling outreach copy in English

Self-directed and proactive — comfortable building process from scratch without a playbook
Comfortable operating in a small, technical team where they will be the only dedicated growth/marketing resource
Curious about technology — willing to learn DocuWare product basics to improve credibility in outreach
