About Your Role
CMTS is seeking a highly organized and detail-oriented Document Control Specialist to support aviation, transportation, and public infrastructure capital improvement projects throughout the Washington D.C., Maryland, and Virginia (DMV) Region. This role will be responsible for maintaining project documentation, tracking records, managing document workflows, and supporting project teams with document control processes throughout all phases of project delivery.
Education Requirements
Associate’s Degree or Bachelor’s Degree in Business Administration, Construction Management, Engineering Technology, Information Management, or related field preferred

An equivalent combination of education, technical training, and relevant document control experience
What You’ll Need to Get the Job Done
3–7 years of document control or project administration experience supporting construction, engineering, aviation, transportation, or infrastructure projects
Strong understanding of document management processes and records management best practices
Experience managing project documentation including RFIs, submittals, meeting minutes, transmittals, change orders, schedules, and closeout records
Ability to maintain organized electronic and hard-copy filing systems in accordance with project requirements and client standards
Strong attention to detail and ability to maintain accurate records in fast-paced environments
Excellent organizational, analytical, and time management skills
Strong written and verbal communication skills with the ability to interface professionally with project teams and stakeholders
Ability to manage multiple priorities and deadlines simultaneously
Experience supporting project teams in active operational or public sector environments preferred
Proficiency in Microsoft Office Suite including Word, Excel, Outlook, Teams, and Adobe Acrobat
Experience utilizing document management and project management software platforms preferred
Ability to travel throughout Washington D.C., Maryland, and Virginia project locations as required

What You’ll Do
Maintain and manage project documentation throughout all phases of project delivery including planning, design, construction, and closeout
Process and track RFIs, submittals, transmittals, meeting minutes, change orders, schedules, correspondence, and project reports
Ensure all project documents are properly logged, distributed, filed, and maintained in accordance with project procedures and client requirements
Maintain electronic and hard-copy filing systems to support document retention, accessibility, and version control
Monitor document workflows and follow up with project teams, contractors, consultants, and stakeholders to ensure timely submission and processing of documentation
Support project managers and construction teams with document tracking, reporting, and administrative coordination activities
Assist with preparation and distribution of project meeting agendas, meeting minutes, reports, and project correspondence
Coordinate document review and approval workflows between contractors, consultants, client representatives, and internal teams
Perform quality checks on project documentation to ensure completeness, accuracy, and compliance with established standards
Assist with project closeout activities including turnover documentation, warranties, as-built drawings, operations and maintenance manuals, and records archiving
Maintain confidentiality and security of project records and sensitive documentation
Generate document control reports, tracking logs, and status updates for project leadership and client review
Support implementation and maintenance of document control procedures, standards, and continuous improvement initiatives
Participate in project meetings and coordinate with project teams to support overall project delivery objectives
Build and maintain positive working relationships with clients, contractors, consultants, and project stakeholders
