Position Summary
Konare Law is seeking a detail-oriented Docket Specialist to support our legal team by managing case schedules, tracking deadlines, and handling all docket-related functions. The Docket Specialist plays a critical role in ensuring that hearings, filings, and deadlines are properly tracked and that attorneys are fully prepared.
The ideal Docket Specialist is highly organized, detail-oriented, and experienced in working within a legal environment. This role requires strong legal experience, excellent time management, and the ability to manage multiple deadlines in a fast-paced setting. Immigration experience is strongly preferred.
Responsibilities
• Serve as the primary Docket Specialist responsible for maintaining and updating the firm’s docket system
• Schedule docket-related appointments, including case reviews, individual hearing preparation sessions, USCIS interview preparation, consular processing interview preparation, and SIJS hearing preparation
• Manage incoming docket emails and notices, ensuring all items are reviewed, processed, and documented accurately
• Create and track calendar events, tasks, and deadlines based on court and agency notices
• Monitor the EOIR Portal and designated critical inboxes on a fixed daily schedule, regardless of whether email notifications are received, and immediately process any new hearings, orders, notices, or deadlines identified
• Process all incoming docket notices by creating required tasks, calendar events, and docket entries, then forward each processed notice to [email protected] with a clear annotation (e.g., “Docketed,” “Tasks Created,” “No Deadline”) and move it to the processed folder
• Identify, enter, and track all court deadlines that are independent of a scheduled hearing date, calculate applicable due dates, create corresponding MyCase tasks, and notify the assigned legal team upon entry
• Conduct audits of upcoming hearings to ensure accuracy, completeness, and case readiness
• Communicate with attorneys and legal staff regarding docket updates, deadlines, and case status
• Track and manage all deadlines, including those not tied to hearings, ensuring timely completion
• Prepare and maintain trial binders for hearings and legal preparation sessions
• Maintain organized electronic and physical files, including scanning and uploading documents
• Monitor court portals and inboxes daily to ensure all docket activity is captured and processed
• Provide backup support for other Docket Specialist or scheduling functions as needed
• Maintain confidentiality and ensure accurate, detail-oriented workflows in a legal setting
Qualifications
• Prior experience in a legal docketing, scheduling, or deadline management role required
• Strong legal experience, preferably in immigration law
• Highly detail-oriented with strong organizational skills
• Ability to manage multiple deadlines and prioritize effectively
• Experience with case management systems (e.g., MyCase) preferred
• Strong communication skills and follow-through
• Ability to execute structured docket control procedures with precision, including escalation protocols and scheduled audit requirements
