The Team You’ll Work With:
The Office of the Chief of Staff to the Mayor is responsible for the full suite of citywide and agency administrative operations to include scheduling and preparing the Mayor for his daily briefings, meetings, and events. The team led by the Mayor’s Chief of Staff coordinates the operations of the Office of International Affairs, the Office of Operations, the Office of Special Projects and Community Events, the Office of Citywide Event Coordination and Management, Gracie Mansion, and the Office of Correspondence, the Office of Mass Engagement, the Office of Emerging Markets, and the Office of Sports, Wellness, and Recreation.

The Problems You’ll Solve:
The Deputy Director of Scheduling supports the Director of Scheduling in overseeing the Mayor’s calendar and daily flow, ensuring disciplined execution of scheduling strategy and seamless coordination across the Mayor’s Office. This role exercises significant judgment, manages complexity across multiple time horizons, and often serves as the day-to-day lead on scheduling operations. The Deputy Director reports to the Director of Scheduling and works closely with the Mayor, Chief of Staff, Deputy Chiefs of Staff, and other senior staff to ensure the Mayor’s time reflects administration priorities.

Calendar Leadership & Oversight
- Serve as the primary day-to-day manager of the Mayor’s calendar.
- Review, shape, and approve scheduling decisions made by schedulers; resolve conflicts and competing priorities.
- Manage short- and long-term calendar planning, including major initiatives, statewide travel, and high-profile engagements.
- Maintain a calendar of international, national, and city-wide holidays and major events to provide recommendations to the Director and Senior Staff.

Team Management & Coordination
- Support schedulers, setting standards for accuracy, responsiveness, and professionalism.
- Provide guidance, quality control, and real-time problem-solving in a fast-moving environment.
- Step in as acting Director of Scheduling when needed.
- Work closely within Scheduling Team to ensure the content of each engagement aligns with the time allotted.

Senior-Level Coordination
- Partner with the Chief of Staff, Deputy Chiefs of Staff, and other senior staff to align scheduling with policy, communications, and administrative priorities.
- Coordinate closely with security and advance teams on complex or high-visibility events.

Briefings & Systems
- Oversee production of daily and weekly schedule briefings and look-ahead materials.
- Help develop and maintain scheduling systems, protocols, and documentation to ensure consistency and institutional memory.

About You:
- You have demonstrated experience managing complex executive schedules or operations in government or similarly high-pressure environments.
- You have exceptional judgment, discretion, and ability to manage competing priorities.
- You have strong leadership and coaching skills.
- You have excellent written and verbal communication skills.
- You can anticipate issues and adapt quickly in dynamic situations.
- You have absolute discretion in highly sensitive environments.

Special Assistant (MA)-MGRL - 0668A

- Bachelor’s Degree required.
- 2+ years of experience.
