Job Title: Dental Virtual Assistant
Position type: Full-time
Work hours: 40 hours/week (EDT)
• Monday – Thursday: 8:30 AM – 4:30 PM
• Friday: 9:00 AM – 4:00 PM
Note: Candidate should be flexible to adjust to a full 8:30 AM – 5:30 PM schedule (Monday–Friday) if required by the provider to complete 40 hours.
Work days: Monday – Friday
Salary: $5 – $6 per hour (depending on experience)

Scope of Work/Responsibilities
Overview:
We are seeking a highly skilled and proactive Dental Virtual Assistant to support a busy dental practice. This role requires someone experienced in healthcare or dental administrative operations who can work independently, manage multiple priorities, and contribute to a smooth and efficient patient experience.
Key Responsibilities:
• Appointment scheduling and patient reminders
• Patient records management and data organization
• Handling patient inquiries via phone, email, and messaging platforms
• Coordinating with healthcare professionals and internal staff
• Compiling medical research and preparing reports
• Document preparation (reports, presentations, spreadsheets)
• Email and text management (sorting, prioritizing, responding, newsletters)
• Billing support and administrative assistance
• Provider support and patient care coordination
Requirements:
Experience requirements:
• Proven experience in healthcare or dental administrative roles
• Strong understanding of medical/dental workflows and systems
• Experience with tools such as Planet DDS, Weave, VoIP systems, Slack, Salesforce, WhatsApp, Skype

• Excellent communication skills (written and verbal)

• Strong problem-solving and critical thinking abilities
• Ability to manage KPIs, scheduling, and documentation accurately

Deal-Breakers (Automatic Disqualifiers):
• No healthcare or dental administrative experience
• Requires constant micromanagement
• Unstable internet or inability to access systems reliably
• Poor communication skills
• History of unreliability or inconsistent performance
Basic requirements
• Must be proficient in speaking and writing English very clearly
• Must have relevant work experience
• Be able to submit an NBI clearance and/or Local Police Clearance background check before onboarding [mandatory]
• Must be available for video meetings with your camera on (when needed)
Technical requirements
• Device: Reliable laptop or desktop computer.
• Internet: High-speed connection (minimum 10 Mbps).
• Audio: Noise-canceling headset.
• Video: Webcam for virtual meetings.
