Position Overview
The DDQ Digitization Specialist will support Ontra’s AI-first due diligence questionnaire platform by providing Human-in-the-Loop oversight for live DDQ requests. This role is responsible for reviewing AI-generated digitization outputs to ensure that all document sections and questions are captured accurately, completely, and in the correct sequential order.
The ideal candidate is highly detail-oriented, comfortable reviewing structured documents, and capable of working within tight turnaround times while maintaining exceptional accuracy.
Key Responsibilities
Document Access and Queue Management
• Log in to Ontra’s platform and navigate to the assigned review queue.
• Locate assigned DDQ documents requiring review.
• Monitor document status and proceed with the appropriate review step based on the workflow stage.
Section Review
• Review each DDQ document page by page in full.
• Cross-reference the source document against the extracted section list.
• Confirm that all sections are captured accurately and appear in the same sequential order as the source document.
• Add missing sections using the exact header text from the source document.
• Correct any sections that are out of order by deleting and re-adding them in the proper position.
• Preserve all alphanumeric prefixes and formatting references in section headers, such as “A.,” “1.,” or “Section B.”
• Disambiguate duplicate section names when needed using clear labels.
Question Review
• Review each DDQ section and verify that all questions have been accurately extracted.
• Ensure question text matches the source document verbatim, including line breaks.
• Add missing or incorrect questions by copying and pasting the exact text from the source document.
• Move questions to the correct section when necessary.
• Re-add questions above or below existing entries when placement within a section is important.
• Use search functions to confirm that a question has not already been captured elsewhere before manually adding it.
• Finalize the document once all sections and questions have been fully reviewed.
Quality Assurance
• Ensure 100% of document sections are captured and listed in sequential order.
• Ensure 100% of questions are captured accurately and assigned to the correct sections.
• Review only the structure and question content of the DDQ.
• Do not review, edit, or add answer content.
• Maintain accuracy while meeting the target turnaround time of under one hour per live request.
Requirements:
Required Skills and Qualifications
• Strong attention to detail and accuracy.
• Experience reviewing structured documents, questionnaires, forms, or legal/business documents.
• Ability to compare source documents against extracted data.
• Strong reading comprehension and document navigation skills.
• Comfortable working with SaaS platforms, admin tools, and document review workflows.
• Ability to follow detailed SOPs and quality standards.
• Strong copy/paste accuracy and ability to preserve exact wording and formatting.
• Ability to work efficiently under time-sensitive SLAs.
Preferred Qualifications
• Prior experience with due diligence questionnaires, investor diligence requests, fund documentation, or financial services documentation.
• Experience with AI-assisted workflows or Human-in-the-Loop review processes.
• Familiarity with document digitization, data validation, or quality control.
• Background in back-office operations, document processing, legal operations, or financial services support.
Performance Expectations
• Complete live DDQ review requests within the target turnaround time of less than one hour.
• Maintain high accuracy in section and question capture.
• Follow the SOP consistently for every assigned document.
• Escalate unclear formatting, extraction issues, or workflow concerns when needed.
• Ensure documents are finalized only when all sections and questions have been fully validated.
Success Metrics
• 100% of sections captured.
• 100% of sections listed in correct sequential order.
• 100% of questions captured.
• 100% of questions assigned to the correct section.
• Question text copied verbatim from the source document.
• No review, modification, or addition of answer content.
• Live requests completed within the required SLA.
