Position Summary
Reporting to the Senior Advisor, Advancement Data Governance and Process Optimization, the Data Governance and Process Optimization Officer supports the development and execution of data governance and process optimization initiatives for University Advancement (UA). The role contributes to ensuring data is consistent, well-governed, and used appropriately, while supporting compliance with legal and regulatory requirements related to personal information.
In conjunction with the supervisor, the Officer designs governance tools, learning initiatives, process documentation, and process improvement solutions, and organizes change management activities related to process optimization initiatives to support the successful adoption of improved processes.
Primary Responsibilities
• In conjunction with the supervisor and working closely with key stakeholders, develops end-to-end process maps for current-state and future-state processes, with a focus on efficiency.
• Supports teams in analyzing business processes, identifying opportunities for improvement, and designing optimized workflows.
• Develops and maintains an intake and workflow framework for process optimization and continuous improvement initiatives.
• In conjunction with the supervisor, develops and executes change management plans to support the implementation and adoption of new or improved processes, including impact analysis, change impact assessments, and readiness planning.
• Works with the supervisor to design and deliver communication materials, job aids, and learning resources to support process changes.
• Builds a process optimization registry and contributes to tracking outcomes, benefits, and value realization in collaboration with Advancement Analytics and Planning.
• Collaborates with Advancement Information Management and other partners to ensure alignment between process optimization initiatives, data governance practices, and system capabilities.
• Supports the development, implementation, and maintenance of data governance frameworks, data dictionaries, standards, and tools for University Advancement, in alignment with university governance objectives and business needs.
• Supports the design and development of learning initiatives, training materials, and guidance to promote data governance concepts, data literacy, and best practices across UA.
• Contributes to the development, documentation, and communication of policies, procedures, and standards related to the collection, maintenance, retention, and safeguarding of data.
• Identifies and assesses data governance gaps or risks related to data quality, privacy, retention, and compliance, and supports mitigation efforts.
• Supports the development, documentation, and ongoing refinement of a data governance incident response framework, including workflows, escalation paths, and supporting materials.
Qualifications
• Bachelor’s degree in a relevant field or equivalent experience.
• 7+ years of experience in process improvement, business analysis, or a related operational environment.
• Experience with process mapping, workflow optimization, and change management.
• Working knowledge of data management and data governance principles.
• Familiarity with privacy, data protection, and compliance concepts is an asset.
• Strong analytical, documentation, and communication skills.
• Superior client service orientation with the ability to act as a trusted advisor and build strong partnerships.
• Strong influencing skills and proven success working in a matrixed environment.
• Comfortable working in a highly agile environment with the ability to maintain composure under pressure and meet key deadlines;
• Creative problem‑solving skills and comfort working with HR data and metrics.
• Advanced digital proficiency across a wide range of applications.
• Fluent in English and French, both spoken and written, with advanced writing and presentation ability.
