Job Description:
• Responsible for inputting and updating data in digital databases accurately and timely.
• Identify and correct errors in data and notify relevant parties when needed.
Responsibilities:
Operations, Data & Documentation
• Collect, enter, maintain, and validate customer, billing, compliance, and operational data.
• Maintain organized digital and physical records for efficient data retrieval.
• Review and correct data errors; verify outputs before distribution.
• Download and track production and operational reports; generate routine reports and store them.
• Prepare and maintain documentation such as contracts, amendments, proposals, permits, incentive filings, and project closeout materials.
Project, Client & Financial Coordination
• Support project setup by creating projects in internal systems after approval.
• Track client paperwork, proposals, and follow-ups to ensure timely execution and invoicing.
• Maintain updated client database including contacts and invoicing details.
• Collect AP invoices, forward to data team for cross-referencing, and summarize cost info for Finance leadership.
Timekeeping & Compliance Support
• Track overtime, sick time, and time-off records, ensuring approval and escalation as needed.
• Support compliance reporting by maintaining accurate records aligned with requirements.
Cross-Functional Collaboration
• Work closely with management to align data preparation, reporting, and execution with priorities.
• Coordinate with internal teams, clients, vendors, and stakeholders to ensure accuracy and process continuity.
• Provide process documentation and notes to technology team to support automation.
Scope & Authority
• Supports execution, tracking, and escalation only.
• Financial approvals, payroll, billing releases, and payments are handled by Finance leadership.
Skills and Qualifications - Hard and Soft Skills:
• Strong time management skills.
• Detail-oriented and diligent.
• Comfortable multitasking.
• Positive, team-focused attitude; willing to assist where needed.
• Ability to analyze software to extract information.
• Proficient in MS Excel, including pivot tables and handling large datasets.
