Position Overview:
We are seeking a reliable, detail-oriented, experienced, and friendly Data Entry Specialist to join our team full-time. This position is on-site at our corporate office located in Bethel Park, PA 15102, and plays a vital role in both administrative accuracy and front-office support.
The ideal candidate has an upbeat personality, strong customer service skills, and feels comfortable in a dual role that includes both data entry and front-desk responsibilities.
Key Responsibilities:
Accurately enter medical and safety data from field operations into internal systems
Track and update employee records, including drug screening results, injury reports, and wellness check data
Maintain confidentiality and comply with HIPAA regulations and internal data privacy standards
Answer incoming calls and direct inquiries to the appropriate team members
Greet and assist walk-in clients in a professional and courteous manner
Generate reports for internal use and client distribution to support OSHA compliance and injury prevention
Support field medics and operations teams by reviewing and clarifying submitted documentation
Assist with preparation and electronic uploads to third-party platforms (e.g., ADP, UPMC, MetLife)
Identify and correct data discrepancies as part of our quality assurance process
Maintain organized records in both digital and physical formats
Qualifications:
High school diploma or equivalent required; associate degree preferred
2+ year of data entry or administrative/front-desk experience preferred
Strong attention to detail and organizational skills
Professional communication and interpersonal skills
Comfortable answering phones and engaging with clients in person
Proficiency in Microsoft Office Suite (especially Excel)
Ability to handle confidential information with discretion
Team-oriented and proactive attitude
