Job Summary:

The Customer Service and Admin Officer role is a position focused on supporting backend operations and ensuring a seamless experience for students. This role combines data entry accuracy, administrative coordination, and customer support, making it critical to the organization’s daily operations.

You will be responsible for managing student records, enrollments, and certification processes, while also assisting with customer inquiries and maintaining high service standards. The role requires strong attention to detail, proficiency in Microsoft Office, and experience with student management systems.

This position follows a structured onboarding setup, starting with an initial on-site period in Quezon City, followed by a potential transition to hybrid or remote work after evaluation. You will work closely with the Australian-based team, receiving training and ongoing support to ensure success in the role.

The ideal candidate is highly organized, detail-oriented, and reliable, with the ability to work independently while maintaining accuracy and efficiency in a fast-paced environment.

Responsibilities:

• Answering emails, incoming calls and handling customer and client enquiries;
• Provide course information and book in students into courses;
• Enter, audit and update student enrolments via VET Trak student management system;
• Issue Statement of Attainments and Certificates of Completion via VET Trak student management system, Austroads, Liquor Control Victoria, Liquor and Gaming NSW and WorkSafe portals.
• Liaise with employers and schools to finalise student details, as required
• Liaise with trainers and site contacts to ensure smooth delivery of short courses;
• Other administration duties as required by management.

Requirements:

• Customer service and previous office experience;
• Experience in social media platforms;
• Intermediate to advanced MS Word, Outlook and Excel;
• Google Calendar, Google Sheets;
• RTO student management software (VET Trak or equivalent).
• High level of attention to detail;
• Exceptional written and telephone and communication skills and able to liaise with clients, management, and staff clearly;
• Preparedness to learn;
• Able to work individually and problem solve within a team;
• A willingness to develop leadership skills and help grow with the organisation;
• A proactive approach to job requirements;
• Enthusiasm and personal drive to want to help grow the organisation;
• Good organisational skills including proper management of time and resources;
• Ability to handle pressure and meet deadlines;
• Willing to learn and take directions from persons with whom you report to;
• Flexibility to handle existing and new client requirements.
