Customer Engagement Coordinator

Reports To: Wellness Concierge Lead
Position Summary
The Customer Engagement Coordinator plays a key role in supporting the mission of Root Whole Body by helping clients stay connected, engaged, and consistent in their health and self-care journey. This position is responsible for creating meaningful, conversational outreach that strengthens relationships with current and prospective clients, encourages continuity of care, and increases visit frequency across services and providers.
The ideal candidate is an excellent communicator who is proactive, organized, service-oriented, and passionate about helping people take the next step in their health and wellbeing journey. Success in this role requires balancing relationship-building with operational follow-through and measurable engagement outcomes.
Primary Responsibilities
Client Engagement & Relationship Development
Develop and execute personalized outreach campaigns designed to increase engagement and continuity of care at Root Whole Body
Create conversational, supportive, and effective communications across multiple channels including phone, text, email, and CRM messaging platforms
Engage with targeted client segments including but not limited to:
First-Time Visitors
Membership Clients
Birthdays and Milestone Outreach
Clients Not Seen in 45+ Days
Whole Body Health Assessment Follow-Up
Inactive or At-Risk Clients
Consultation Opportunities
Encourage scheduling of:
Consultations
New patient/client appointments
Rebooking and recurring services
Support conversations related to Whole Body Health accounts and ongoing participation in care plans and services
Maintain a warm, educational, and relationship-centered communication style aligned with the Root Whole Body experience and brand values
Communication & Marketing Support
Collaborate with leadership and marketing teams to support engagement initiatives and retention strategies
Assist in refining messaging, scripts, and outreach workflows for improved client response and conversion
Track engagement outcomes and provide feedback on successful communication approaches and opportunities for improvement
Support campaign execution tied to promotions, seasonal offerings, events, workshops, or service launched
Operational Support (Secondary Responsibilities)
As business needs require, this role may also assist with:
Customer service communication and information requests
Schedule sweeping and appointment preparation support to ensure all required intake forms, documentation, and information are completed prior to appointments
Assisting with appointment confirmations and coordination needs
Internal communication support related to scheduling flow and client readiness
Future Growth Opportunities
Over time, this role may expand to include:
Corporate outreach initiatives
Coordination of wellness presentations or sales meetings/proposals
Community relationship development
Employer partnership support and outreach campaigns
Research or Program Development as needed
Qualifications
Strong written and verbal communication skills with the ability to create natural, engaging conversations
Excellent interpersonal and relationship-building abilities
Highly organized with strong attention to detail and follow-through
Comfortable using CRM systems, scheduling software, email, and texting platforms
Ability to multitask and adapt in a fast-paced environment
Professional, empathetic, and customer-service oriented mindset
Prior experience in healthcare, wellness, hospitality, sales support, customer engagement, or client retention preferred

Position Details
Full-time Position
Compensation: $6.00-7.50/hour plus applicable incentives or bonus opportunities, if offered
Starting schedule is 6am-3pm PST / 10am-7pm ART; may change based on needs
