Our client in the financial services industry is looking for a Team Assistant to support the global Creative and Design team by ensuring smooth day-to-day operations and enabling the delivery of high-impact creative work.

This role provides proactive administrative and logistical support, including complex diary and meeting management for the Global Head of Creative and Design and the leadership team, as well as coordinating travel and processing expenses. Working closely with the Senior Creative Operations Executive, the Team Assistant helps foster a positive team culture within the South Africa team, supports cross-location collaboration, and contributes to project coordination and creative asset management, including maintenance of the Brand Portal in partnership with Corporate Affairs.

What you will do:

• Manage complex diaries for the Head of Creative and Design and leadership team, schedule meetings, prepare agendas, coordinate travel, and ensure timely follow-ups.
• Provide day-to-day administrative support to the Creative and Design team and maintain team processes and documentation.
• Coordinate travel arrangements, process expense claims, and manage invoice processing in line with company policies.
• Support the organisation and upkeep of creative assets and contribute to the maintenance of the Brand Portal in collaboration with Corporate Affairs.
• Assist with project management tasks including tracking timelines, coordinating reviews, and supporting delivery milestones.
• Promote team morale and wellness initiatives within the South Africa team and foster strong cross-location relationships.
• Liaise with internal and external stakeholders to support the delivery of creative work and ensure clear, timely communication.

• Proven experience in an administrative or team assistant role within a creative, marketing, finance, or similar environment.
• Strong organisational skills with the ability to manage multiple priorities, schedules, and deadlines accurately and calmly under pressure.
• Excellent communication and interpersonal skills with the ability to build strong relationships across teams and locations.
• Demonstrated experience managing complex diaries and coordinating meetings for senior stakeholders.
• Experience coordinating travel, processing expenses, and managing invoice administration.
• Proficiency in digital tools and platforms including Microsoft Office, Teams, SharePoint, or similar systems.
• Proactive and adaptable approach with a strong willingness to support team and operational needs.
• Familiarity with creative workflows and terminology is advantageous.
• Experience supporting project management or operations within a creative or brand team is desirable.
• Understanding of brand asset management systems or digital asset libraries is beneficial.
• Collaborative mindset with interest in team culture, wellness, and engagement.
