Overall Purpose
As the Corporate Receptionist, you will be responsible for the front-of-house function of the building, meeting and greeting visitors, signing in and issuing access passes, as well as hosting at various times during the day. You will be sharing the desk and responsibilities with another colleague, as well as working closely with the security team, and the larger facilities teams in the building to ensure all processes are running smoothly and efficiently.
Being based on an iconic landmark location, the building requires a receptionist who has the natural flair to engage with occupiers and visitors and be supportive and creative in promoting events and activities within the building - a great communicator that has the willingness to go above and beyond.
Duties and Responsibilities
Reception & Front of House
Take full ownership of the reception area and associated spaces, ensuring they remain organised, clean, and maintained to the highest standard at all times.
Liaise proactively with the St James Team Member, the cleaners, facilities teams, and other departments to ensure smooth daily operations.
Ensure full adherence to St James policies, procedures, codes of conduct, and emergency/Health & Safety protocols.
Guest Experience & Customer Service
Host throughout the day, engaging warmly with tenants and visitors and creating a welcoming environment.
Greet and assist all guests and visitors, standing to welcome as a standard of service and ensuring an exceptional first impression.
Sign in all visitors and issue appropriate building passes in accordance with building procedures.
Act as the first point of contact for all occupiers, guests, and clients, confidently addressing questions, queries, and requests.
Communication & Administration
Answer all incoming calls promptly and professionally, identifying caller requirements and handling messages and enquiries efficiently.
Manage difficult or distressed callers with calmness, professionalism, and care.
Maintain and update the St James folder, operational manuals, occupier procedures, and phone database.
Produce weekly and monthly reports and provide accurate Front of House data when required.
Create newsletters, posters, events calendars, and other administrative materials to support building communications.
Promote building activities, pop‑ups, Freebie Fridays, and community events to encourage engagement across the occupier community.
Building Support & Coordination
Work closely with wider building teams to support daily operations, events, and building initiatives.
Assist with unforeseen tasks or client requests at short notice, demonstrating flexibility and effective problem‑solving.
Safety & Compliance
Support the security and Health & Safety requirements of the building, submitting thorough reports to building management when necessary.
Report accidents or incidents appropriately and in adherence with building procedures.
Relationship Management
Build strong, positive relationships with occupiers, onsite teams, and internal stakeholders.
Provide ongoing assistance and support to ensure a cohesive and collaborative building environment.
Knowledge and Skills:
Previous experience in delivering exceptional customer service essential.
Excellent command of the English language, both verbal and written.
Exceptional interpersonal skills, flexible to work with a range of styles and personalities and according to business demands.
Experience in using Microsoft Office, PowerPoint, Excel and Visitor Management Systems.
Excellent punctuality, outgoing and a can-do/proactive attitude; and adaptable to what the site requires.
Innovative, active, and creative.
Flexibility to react promptly to reasonable client demand.
This role will require obtaining an SIA licence.
