To strengthen our International Participant Management (Event Management) department in Schengen, Luxembourg, we are looking for a part-time Coordinator International Participant Management, effective immediately.
WHAT ARE YOUR RESPONSIBILITIES:
Administrative preparation, support, and follow-up of national and international events, including invitation management, participant handling, registration, accreditation, hotel accommodation, and flight bookings
Obtaining quotations from external service providers (e.g. hotels) and further processing
Acting as the main point of contact for participants regarding questions and concerns
Managing and maintaining participant lists
Coordinating and liaising with internal and external stakeholders, both in advance and on-site at events
Invoice review and processing
General administrative tasks
Research tasks and travel planning for events
Collaboration and information coordination with various departments
Willingness to travel domestically and internationally
WHAT ARE THE REQUIREMENTS:
A Completed commercial training preferably in Office Management, Travel, Hospitality, or Tourism or prior experience in these fields is advantageous.
Creative, open-minded, and confident when dealing with people
Able to remain calm under pressure; proactive and solution-oriented
Strong interpersonal and communication skills
Confident user of MS Office
A service-oriented, independent, structured, and conscientious working style is required
Enjoys working in a team, values achieving shared goals, and is reliable
Very good written and spoken German and English skills
Willingness to travel domestically and internationally (valid driver’s license required) completes your profile
