The Coordinator, Corporate Administration ensures the smooth, consistent delivery of administrative services that support day‑to‑day operations across MSC Canada offices. Acting as a central point of coordination, the role oversees core office logistics (space, supplies, vendor interactions, and building service requests), manages scheduling resources and communication tools (e.g., boardroom bookings and collaboration platforms), and provides high‑touch internal service to leaders and teams. The Coordinator partners closely with Receptionnists, Catering, Facilities, HR/People Operations, IT, Marketing and Communications to streamline processes for onboarding/offboarding (credentials, access, and equipment), maintain accurate administrative records, and uphold service standards that reflect MSC’s values and culture. 
This role combines planning with hands‑on execution: tracking administrative metrics and preparing clear, well‑formatted reports to support decision‑making; anticipating office needs and coordinating with external providers; and stepping in to support events and executive requests when required. It requires strong organization, attention to detail, and the ability to communicate clearly while juggling multiple priorities in a fast‑moving environment.

Increased handling tasks with greater independence; Responsible for quality and timeliness of personal work. Contributing to projects with guidance, supporting team/organizational objectives. 
Key Tasks 
• Office Coordination: Manage day‑to‑day administrative operations, including office supplies, vendor liaison, and service requests. 
• Scheduling & Logistics: Oversee meeting room bookings, coordinate internal events, and support executive scheduling needs. 
• Onboarding/Offboarding Support: Ensure smooth processes for employee access, credentials, and workspace readiness. 
• Record Management: Maintain accurate administrative files, contracts, and compliance documentation. 
• Reporting & Metrics: Prepare regular reports on administrative KPIs, budget tracking, and vendor performance. 
• Cross‑Functional Collaboration: Act as a liaison between Facilities, Catering, HR/People Operations, IT, Marketing and Communications for seamless service delivery. 
• Special Projects: Assist with corporate initiatives, audits, and process improvement projects as assigned. 
Skills & Experience 
• Education: College diploma or equivalent experience in Business Administration or related field. 
• Experience: 2–3 years in an administrative or coordination role, preferably in a corporate environment. 
• Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams); familiarity with SharePoint and scheduling tools. 
• Core Competencies:  • Strong organizational and time‑management skills 
• Excellent verbal and written communication 
• Ability to handle confidential information with discretion 
• Problem‑solving mindset and adaptability in fast‑paced settings 
• Assets: Knowledge of facilities management processes and bilingual (English/French) communication skills.
