Position: Conveyancing Assistant

Salary: AU$3,000 - AU$3,500/month

Working Hours & Conditions: Mondays to Fridays; 8:00 AM to 5:00 PM AEST

OVERVIEW:

The company is seeking a highly experienced and meticulous Conveyancing Assistant to manage the full end-to-end lifecycle of property settlements. You will be a "Commencer" who can take a file from the initial contract stage all the way to a successful settlement.

The successful candidate must have a robust background in Australian property law and a "hawk-eye" for detail—specifically regarding the preparation and verification of Form 1 Disclosure Statements.

RESPONSIBILITIES:

• Full Lifecycle Management: Handle the entire conveyancing process from "Contract to Keys," including file opening, searching, document preparation, and final adjustment.
• Form 1 Specialist: Expertly prepare, review, and verify Form 1 Disclosure Statements. You must ensure these are legally watertight to prevent any "loopholes" that could allow a party to rescind a contract.
• Contract Administration: Interpret and manage property contracts, ensuring all special conditions and statutory timelines are strictly met.
• Settlement Coordination: Manage the PEXA workspace, including inviting participants, uploading documents, and ensuring financial settlement is authorized on time.
• Stakeholder Liaison: Communicate professionally with real estate agents, mortgage brokers, banks, and other legal practitioners to ensure a smooth transaction.

Requirements:
QUALIFICATIONS:

• Minimum 3+ years of experience in Australian Conveyancing (specifically SA jurisdiction for Form 1 expertise).
• Form 1 Mastery: Deep technical knowledge of Form 1 preparation. You must understand the risks of "loopholes" and how to mitigate them through rigorous searching and verification.
• Legal Background: A formal background in property law or a Paralegal/Conveyancing qualification is highly preferred.
• PEXA Proficiency: Hands-on experience with PEXA settlements and electronic lodgment.
• Search Portals: Familiarity with Lands Titles Office (LTO) searches, council searches, and statutory authority inquiries.
• Practice Management: Experience using Australian conveyancing software (e.g., Smokeball, Leap, or Fileman).
• Reliability: Full-time availability during Australian business hours. We need a partner who is "on the ball" during the critical settlement windows.
• Communication: Flawless English communication skills, both written and verbal, for drafting legal correspondence and talking to vendors/purchasers.
