We are seeking a Contract Project Coordinator/Administrator to support project delivery by providing strong coordination, communication, and administrative support across project teams. This role is ideal for someone who is highly organized, comfortable working with stakeholders at all levels, and skilled at navigating team dynamics to keep projects moving forward smoothly. 

Key Responsibilities 

• Provide project coordination and administrative support to Project Managers and project teams across one or more initiatives 
• Track and communicate project status, including milestones, deliverables, risks, issues, and dependencies 
• Prepare and distribute project updates, meeting notes, and action items to stakeholders at varying levels of the organization 
• Serve as a reliable point of contact to help facilitate communication between technical teams, business partners, and leadership 
• Support project governance activities such as status meetings, steering committee updates, and reporting 
• Proactively identify risks or issues and escalate appropriately while helping teams navigate sensitivities and competing priorities 
• Maintain project documentation, schedules, and artifacts in project management tools 
• Build strong working relationships and effectively navigate organizational politics to drive alignment and progress 
• Ability to lead and schedule meetings and discussions 

• 4-5 years of experience in a project coordinator, project administrator, or similar support role 
• Strong written and verbal communication skills, with the ability to tailor messages for different audiences 
• Demonstrated ability to work with stakeholders at all levels, including senior leadership 
• Highly organized with strong attention to detail and followthrough 
• Comfortable managing multiple tasks and priorities in a fast paced environment 
• Familiarity with project management concepts, tools (like JIRA and SmartSheets), and methodologies (formal PM certification not required) 
• Commitment to in-office work, onsite in Philadelphia 4 days a week 

Nice to Have 

• Experience supporting technology or delivery focused projects 
• Exposure to project management tools such as Jira, Smartsheet, MS Project, or similar 
• Interest in growing into a Project Manager or Program Management role
