About the Role
City Wide Facility Solutions is seeking a detail-oriented Contract Administrator / Accountant to join our OneFinance team. This hybrid role combines contract administration and accounting responsibilities, supporting both the business and financial health of the organization. You’ll manage the full lifecycle of customer, vendor, and partner contracts while performing core accounting, reporting, and month-end close activities.
What You’ll Do
• Draft, review, and process customer, vendor, and service contracts, ensuring accuracy and alignment with company policies.
• Monitor contract timelines, including renewals and expirations, and proactively coordinate next steps with internal stakeholders.
• Maintain a centralized repository for contracts, templates, approvals, and documentation.
• Partner with internal teams to resolve discrepancies and support contract negotiations within approved guidelines.
• Ensure vendor and customer compliance with contractual obligations.
• Perform accounting tasks tied to contracts, including preparing journal entries (accruals, deferrals, revenue, prepaids), processing invoices, managing collections, and completing reconciliations.
• Support month-end and year-end close for assigned areas, providing timely reporting and variance analysis.
• Maintain accuracy in Business Central, CRM, and other financial systems while recommending process improvements.
• Assist in developing procedures, templates, and training materials to improve contract and accounting workflows.
What Success Looks Like
• Month-end close completed within 5 business days.
• Fewer than 1% of journal entries or reconciliations require correction post-close.
• Strong collaboration across departments and accurate, on-time reporting to OneFinance leadership.
Requirements:
What You’ll Bring
• High school diploma or equivalent required; Bachelor’s in Accounting, Business Administration, or related field preferred.
• Experience with contract administration, vendor management, or financial document review a plus.
• Working knowledge of GAAP, revenue recognition, and accrual accounting.
• Familiarity with ERP systems; proficiency in Microsoft Dynamics 365 Business Central strongly preferred.
• Intermediate Excel skills (lookups, pivot tables) and experience using Microsoft Office, CRM systems, and Power BI.
• Strong attention to detail, organization, and ability to prioritize multiple tasks.
• Excellent communication and interpersonal skills.
