Position Details
Title: Project Coordinator – Contractor/Operations
Type: 1099 Contract
Location: 100% Remote
Hours: 15–20 hours per week
Compensation: $25–$30 per hour (based on experience)
Experience Level: 2–5 years preferred
Reports To: Project Manager/Estimator & Business Unit Leader
Position Overview
The Project Coordinator provides operational and administrative support across construction and development projects, helping ensure work is organized, information is accurate, and teams stay aligned. This role serves as a central point of coordination between the field, leadership, accounting, and external partners.
The Project Coordinator supports project tracking, reporting, documentation, and financial coordination while helping maintain consistent processes across projects. They also assist with contracts, partner onboarding, and general project administration. A portion of this role supports ownership with real estate and development initiatives, contributing to project organization, budgeting support, and documentation across multiple efforts.
Core Responsibilities
Buildertrend Implementation & Ownership
Support the company-wide launch of Buildertrend across Baseline.
Receive hands-on training and knowledge transfer from the current systems lead.
Become the primary operational user and administrator of Buildertrend.
Ensure consistent use of the platform across projects, teams, and trade partners.
Field Communication & Reporting
Make technology simple and accessible for the field team.
Ensure daily reports from the field are completed accurately and consistently.
Monitor project data for completeness and clarity and escalate gaps when needed.
Act as the bridge between field operations and leadership through structured reporting.
Change Management
Track and initiate scope, cost, and schedule changes within Buildertrend.
Ensure all change events are properly documented and routed for review.
Support leadership in preparing change orders quickly and accurately.
Maintain financial control by ensuring all changes are captured in the system.
Job Costing & Accounting Coordination
Partner closely with Accounting to maintain accurate Budget vs. Actual (BVA) reporting
Ensure budgets, commitments, and actual costs are aligned between operations and accounting.
Provide leadership with clear financial visibility on active projects.
Assist in resolving discrepancies between job costing and field activity.
Contracts & Trade Partner Coordination
Coordinate owner contracts, material purchase orders, and labor subcontracts.
Support the onboarding and documentation of trade partners.
Help foster strong, professional relationships with trade partners.
Identify crossover opportunities where trade partners may also become clients.
Family Office & Development Support
Allocate a portion of time to work directly with ownership on real estate and development initiatives outside of Baseline operations.
Assist with project tracking, budgeting, and documentation for development efforts.
Provide operational and administrative support for property acquisitions, renovations, and development projects.
Help create visibility and structure across multiple real estate initiatives.
Qualifications
Strong proficiency using Buildertrend software
Strong organizational, communication, and time-management skills
Demonstrates exceptional resourcefulness and sound judgment, proactively identifying solutions and gathering necessary information without requiring step-by-step direction.
Translates high-level concepts or minimal guidance into structured plans and fully executed deliverables.
Demonstrable design and/or creative style abilities: portfolio examples provided.
Operates with an ownership mindset — anticipating needs, resolving obstacles independently, and driving initiatives forward to completion.
High level of discretion and professionalism
Comfortable managing both personal and business tasks remotely
Valid driver’s license and ability to handle occasional local errands
Ability to work flexible hours as needed
