Registrations & Compliance Specialist (U.S. & Canada)

About the Role
We’re looking for a detail-oriented and organized Registrations & Compliance Specialist to support licensing, registrations and business compliance across Canada and the U.S.
This is a coordination-focused role where you’ll manage registrations, licenses, permits, and filings across multiple jurisdictions. You’ll work with government websites, track deadlines, maintain organized records, and ensure everything is submitted accurately and on time.
What You’ll Do
Coordinate business registrations, licenses, permits, and regulatory filings across U.S. states and Canadian provinces and territories
Support sales tax setup and compliance activities using tools like Avalara
Track deadlines, maintain a centralized compliance calendar, and ensure all filings and renewals are completed on time
Prepare, review, and submit standard filings including annual reports, business license renewals, sales tax registrations, and entity documents
Maintain accurate and organized records of licenses, permits, registrations, insurance certificates, and compliance documentation
Navigate government websites and portals to complete applications, confirm requirements, and track submission status
Support corporate insurance administration, including tracking renewals and coordinating certificates of insurance (COIs)
Research registration and licensing requirements and summarize findings for internal review
Monitor for updates or notices from regulatory bodies and flag items that may require attention
Support audits, inquiries, and documentation requests by gathering and organizing required information
Coordinate with internal teams to collect information needed for filings and keep compliance processes moving
Assist with new jurisdiction registrations as the company expands into new regions
Help improve and document internal processes to keep compliance work consistent and well organized
What You’ll Bring
Experience in a compliance, licensing, administrative, or similar coordination role
Experience working with multi-jurisdiction registrations, permits, or regulatory processes is an asset
Exposure to sales tax or indirect tax (U.S. or Canada) is an asset
Post-secondary education in business, administration, or a related field is preferred but not required
Strong attention to detail with the ability to manage multiple tasks and deadlines
Highly organized, with experience maintaining trackers, documentation, and calendars
Comfortable navigating government websites and working through forms and application processes
Proficient in Excel or similar tools for tracking and organizing information
Experience with Avalara or ERP/HRIS platforms is an asset
Strong written and verbal communication skills
Process-driven and comfortable working with structured workflows and repeatable tasks
Proactive and able to follow through to completion
Comfortable asking questions and flagging issues when something doesn’t look right
