Position Summary

The Community Services Coordinator plays a central coordination role at Tri-Lakes Cares, helping ensure that neighbors, volunteers, schedules, and systems are aligned so our services run smoothly and thoughtfully.

This position supports the administrative flow of neighbor intake and referrals, coordinates volunteers for ongoing operations, and maintains accurate records within our service systems. The Coordinator also leads volunteer appreciation efforts, including an annual Volunteer Appreciation Dinner and quarterly informal gatherings that strengthen connection and community.

This is a collaborative role within a strong, experienced team. The Coordinator works closely with colleagues and has access to well-established systems and tools to support the work. The role balances people-facing market hours with focused administrative coordination throughout the week and flexes as program needs shift.

Key Responsibilities

Neighbor Intake & Resource Coordination

Support the administrative intake process for neighbors seeking services, ensuring required information and documentation are completed accurately and respectfully.

Assist neighbors in understanding available services and next steps in coordination with the client services team.

Refer neighbors to appropriate external resources when they are not eligible for Tri-Lakes Cares services.

Coordinate smooth handoffs to case managers and other team members once intake steps are complete.

Maintain accurate intake and follow-up records within the case management system.

Volunteer Coordination for Ongoing Operations

Coordinate scheduling and day-to-day support for volunteers engaged in regular Tri-Lakes Cares operations.

Respond to volunteer inquiries related to scheduling and ongoing roles.

Support onboarding and task-specific training and orientation in collaboration with program staff.

Maintain accurate volunteer records and scheduling information using the volunteer management system.

Communicate regularly to ensure coverage, clarity, and a positive volunteer experience.

Volunteer Appreciation & Engagement

Plan and coordinate the annual Volunteer Appreciation Dinner, including venue coordination, communications, RSVPs, and event logistics.

Organize quarterly informal volunteer gatherings (“wine & dine” events), coordinating location, communication, and simple logistics.

Support ongoing volunteer recognition efforts that strengthen engagement and connection.

Market Support & Daily Coordination

Provide on-site coordination support during market hours, helping ensure smooth flow for neighbors and volunteers.

Serve as a point of connection between neighbors, volunteers, and staff during open market times.

Use market closure periods for same-day follow-up, data entry, scheduling updates, and coordination tasks.

Systems, Records & Collaboration

Maintain accurate and timely records in both the case management and volunteer management systems.

Support data integrity through regular updates and follow-up.

Prepare routine summaries or reports related to intake or volunteer engagement, as requested.

Work collaboratively with team members and consult with colleagues as needed to ensure coordinated service delivery.

Provide limited additional support during peak periods or special circumstances.

Schedule & Work Environment

This is a part-time, nonexempt position working approximately 30–34 hours per week.

The Community Services Coordinator is expected to be on-site during market days, currently Tuesdays and Thursdays, including late afternoon and early evening hours. Reliable in-person coverage on these days is essential.

Outside of market days, the schedule offers flexibility. Many administrative and coordination responsibilities may be completed on-site or remotely, as appropriate and coordinated with the team. Occasional short Friday hours and infrequent evening hours may be required to support volunteer-related activities.

Qualifications

Required

High school diploma or equivalent.

2+ years of experience in administrative coordination, customer service, nonprofit operations, or a related role.

Strong organizational skills with attention to detail and follow-through.

Comfortable using database systems, scheduling tools, email, and shared digital platforms.

Clear and respectful verbal and written communication skills.

Ability to shift priorities in a dynamic environment.

A steady, empathetic presence when interacting with neighbors and volunteers.

Preferred

Experience in nonprofit, social services, or volunteer coordination.

Experience using volunteer management or case management systems.

Familiarity with trauma-informed or community-centered environments.

Compensation & Benefits

The hourly rate for this position is $24–$30, depending on experience, and the role is non-exempt and eligible for overtime in accordance with applicable law. Tri-Lakes Cares offers a SIMPLE IRA retirement plan with a 3% employer match, and dental and vision coverage are available (employee-paid). Part-time employees accrue vacation based on hours worked, receive sick leave in accordance with Colorado law, and are eligible for 11 paid holidays annually (prorated). Ongoing professional development is encouraged and supported.
