Job Description
Role Overview
We are seeking a highly motivated, data-driven, and proactive Resource Coordinator to support and scale our commissioning & startup operations across North America. This role is the central nervous system between Sales, PMO, Recruiting, and field execution.
You will own manpower visibility, resource planning, and deployment coordination for a fast-growing commissioning business operating in mission-critical and industrial environments. This is not a passive scheduling role — it requires anticipation, analysis, urgency, and constant communication.
If you thrive in fast-paced environments, love solving complex resourcing puzzles, and want to be a key player in building a $100M+ operation, keep reading.
Key Responsibilities
Resource Planning & Deployment
Maintain real-time visibility of available commissioning & startup resources (by discipline, skillset, certifications, and availability)
Coordinate assignment of technicians and leads to projects in collaboration with PMO and Operations
Proactively identify upcoming resource gaps or constraints before
they become execution risks
Support short-term and long-term resource forecasting (30/60/90-day and annual outlooks)
Sales & Opportunity Support
Actively engage with Sales / Business Managers to understand pipeline, pursuit timelines, and anticipated staffing needs
Support go/no-go decisions by validating resource availability and execution feasibility
Translate sales forecasts into actionable resource demand signals for Recruiting and Operations
Ensure alignment between what is sold and what can realistically be staffed
Recruiting & Talent Pipeline Support
Partner closely with Recruiting to communicate upcoming manpower needs by trade, experience level, and geography
Assist in identifying repeat contractors, preferred resources, and high-performing technicians for redeployment
Support onboarding logistics (availability confirmation, project readiness, compliance tracking)
Help build and maintain a bench strategy for critical skill sets
PMO & Operations Collaboration
Work hand-in-hand with PMO to align schedules, mobilizations, demobilizations, and project phasing
Support project startup planning with accurate manpower inputs
Assist with workload balancing to prevent burnout and optimize utilization
Serve as a problem-solver when schedules shift, projects accelerate, or priorities change
Data, Reporting & Continuous Improvement
Maintain clean, accurate, and current resource data in tracking systems and spreadsheets
Develop and improve dashboards for utilization, availability, and forecast accuracy
Identify process improvements to reduce last-minute staffing, fire-drills, and inefficiencies
Support the development of standardized resource planning and forecasting processes as the company scales
What Success Looks Like
Fewer last-minute resource scrambles
Clear visibility into who is available, when, and for what type of work
Strong trust from Sales, PMO, and Recruiting
Accurate forecasts that allow the business to hire proactively, not reactively
Projects staffed smoothly, sustainably, and profitably
Ideal Candidate Profile
Must-Have Traits
Highly motivated, proactive, and accountable
Strongly data-driven with excellent organizational skills
Comfortable working across multiple teams and priorities
Clear, confident communicator who follows through
Thrives in a fast-paced, growth-oriented environment
Thinks ahead and acts before problems escalate
Preferred Experience
Experience in commissioning, construction, industrial services, or technical field services
Exposure to workforce coordination, scheduling, or operations support
Strong Excel / Google Sheets skills (pivot tables, forecasting, tracking)
Familiarity with project-based businesses and variable workloads
Experience working with field technicians, contractors, or skilled trades is a big plus
