About this Role
Reporting to the Director of Leasing, the Commercial Leasing Coordinator is responsible in supporting the various tasks relating to contract negotiations for commercial space throughout Ottawa and Kingston. This role combines administrative duties with creative actions to attract and retain tenants and enhance the visibility and desirability of the property. The coordinator will work closely with the property manager and marketing teams to execute effective outreach campaigns and ensure high occupancy rates.
Key Responsibilities
Maintain an organized database of all prospective tenants, current tenants, and lease agreements; monitor critical dates such as expiry dates, options to renew, options to terminate, etc.
Assist in preparing weekly leasing update reports.
Collaborate with the leasing team to develop comprehensive marketing plan for attracting prospective tenants to available properties; manage current marketing materials to ensure they are current and up to date.
Track and prepare leasing metrics, including occupancy rates and lease renewals; assist in preparing and reviewing lease summaries.
Oversee the creation and management of property listings on the TRM website, social media channels, and rental listing websites.
Develop and execute marketing campaigns to engage with prospective tenants, promote available properties, generate referrals, and communicate leasing updates.
Conduct property tours for potential tenants and respond to inquiries regarding leasing terms, property features, and availability.
Conduct property inspections to assess leasing signage and maintenance requirements.
Working alongside the Director of Leasing and Leasing Manager to organize broker events, network and build company relationships.
Conduct local market analysis for existing inventory and competitive properties to ensure accurate marketing and competitive pricing with regards to market rent, tenant improvements, etc.
All other duties as required.
Education and Experience Requirements
Post-secondary education.
Excellent organizational and project management abilities, with a keen attention to detail.
Organized self-starter with exceptional time management skills, with proven ability to prioritize tasks under pressure
Ability to work both independently and collaboratively.
Proficient computer skills, including Microsoft Office, digital marketing tools and platforms, including social media, email marketing, and content management systems.
A current and valid driver's license and vehicle are required for the purposes of frequently travelling between properties on a regular basis and on short notice.
Previous real estate experience would be considered an asset.
Ability to communicate in English and French would be considered an asset.

Office setting; working at a desk with a computer; sitting or standing for long periods of time
Provide service to multiple people or departments, working under many simultaneous deadlines
Overtime may be required on an occasional basis in order to meet the changing demands of the project(s)
