Job Summary:

We are seeking a detail-oriented and organized Commercial HVAC Service Estimator to join our team. This role is responsible for processing inbound quote requests from field technicians, preparing and sending formal quotes to clients, and handling approved quotes for parts ordering. The estimator will primarily work with repairs of existing equipment and replacements of single HVAC systems 25 tons and under.

Key Responsibilities:

·         Receive, review, and process inbound quote requests from field technicians.

·         Prepare accurate and competitive quotes for repairs and equipment replacements (≤ 25 tons).

·         Communicate directly with clients to present and explain quotes as needed.

·         Follow up on outstanding quotes to maximize approval rates.

·         Process approved quotes and coordinate with vendors to order necessary parts and equipment.

·         Ensure all orders align with quoted pricing and project requirements.

·         Maintain organized records of quotes, approvals, and orders within the company’s CRM or estimating system.

·         Collaborate with service managers, technicians, and vendors to ensure efficient turnaround times.

·         Stay informed on current HVAC equipment pricing, lead times, and industry trends.

·         Support the service team with administrative tasks related to estimating and procurement as needed.

Qualifications & Skills:

·         Experience in HVAC estimating, service coordination, or related field (preferred).

·         Strong understanding of commercial HVAC systems, repairs, and equipment specifications.

·         Ability to interpret service reports, equipment conditions, and technician recommendations.

·         Proficiency in Microsoft Office (Excel, Word, Outlook) and CRM or estimating software.

·         Strong communication skills, both written and verbal.

·         Excellent attention to detail and ability to work in a fast-paced environment.

·         Strong organizational and problem-solving skills.

·         Ability to build and maintain strong relationships with clients, vendors, and internal teams.

Preferred Qualifications:

·         Previous experience in HVAC service estimating or inside sales.

·         Knowledge of HVAC parts, manufacturers, and pricing.

·         Familiarity with service dispatching software or ERP systems.
