Long Melford is a warm and welcoming community practice that is part of the Swayne & Partners group — a highly respected network of four small animal clinics in Suffolk. Each branch works closely together to provide exceptional care to clients and their pets.

The Long Melford clinic offers modern facilities, a loyal client base, and the support of our hospital site in Bury St Edmunds, which operates 24/7 and provides access to advanced procedures and diagnostics.
About the Role
We’re looking for a friendly, proactive, and professional Client Services Administrator (CSA) to join our Long Melford team. As the first point of contact for our clients, you’ll play a vital role in ensuring every interaction is welcoming, efficient, and supportive.
You’ll work closely with our veterinary and nursing teams to deliver outstanding service, ensure smooth day-to-day operations, and help maintain the high standards that our clients expect.
Key Responsibilities:
Provide a warm, professional welcome to clients in person and over the phone.
Maintain a clean, organised reception area and uphold excellent front-of-house standards.
Manage appointment bookings efficiently to ensure smooth clinic operations.
Take payments accurately and in line with company policy.
Proactively contact clients to rebook missed appointments or follow up on estimates.
Keep client and patient records up to date, including contact, insurance, and medical details.
Support the promotion of the Kin Vet Community Health Care Plan.
Handle insurance claims and client accounts in line with company policy.
Respond promptly and warmly to emails and client enquiries.
Work collaboratively with colleagues to ensure a seamless client experience.
