About the Role
Client Liaison is an integral member of our team in delivering an outstanding client experience. Based at Progeny’s Ropewalk office in Nottingham – formerly Fiscal Engineers, a firm with a respected track record in high‑net‑worth wealth management – this role acts as a central point of contact for clients, visitors, and colleagues alike. You will provide seamless front‑of‑house service, ensure the smooth running of day‑to‑day office operations, and support our advisers and leadership team in maintaining exceptional service standards. This role is ideal for someone who thrives in a professional, client‑focused environment and enjoys creating a polished, welcoming, and efficient office experience.
Key responsibilities & accountabilities
Provide an efficient, friendly and professional point of contact for clients and enquiries by phone, email and in person.
Welcome clients and visitors to the office, make drinks and arrange lunch and/or other requirements for meetings.
Set up and clear meeting rooms for all client, professional or supplier meetings.
Arrange client meetings internally and externally, including telephoning and emailing clients to arrange these, as well as booking meeting rooms in other locations.
Plan, prepare, and deliver client events throughout the year.
Managing the new prospect process in a timely manner, including arranging internal team meetings and preparing Discovery packs
Monitor client birthdays, anniversaries and special occasions, and arrange gifts as required.
Office support
Answer incoming telephone calls to redirect to the appropriate member of the team.
Provision, coordination, and support of day-to-day office duties, i.e. diary management and meeting room bookings.
Arrange meeting room bookings for team members as required.
Provide cover when needed for Executive PA
Support the senior leadership as required.
Assist with monitoring team birthdays/anniversaries and procure appropriate gifts/cards.
Adhere to relevant office processes, procedures and policies and be an advocate for the company brand.
To be first point of contact for all general deliveries.
Regular upkeep of electronic and paper filing systems, ensuring files are kept tidy and logically organised.
Data entry on CRM system XPLAN as required.
Facilities management
Ensure timely provision of all office supplies, stationery, sundries, and equipment.
Liaising with offsite storage when files are required to be delivered or collected.
First point of contact for maintenance issues in the office, including arranging service visits, following up on issues, and filing service reports.
First point of contact for suppliers when visiting the office.
Coordinating major office works as required.
Responsible for arranging health and safety training e.g. Fire Warden and First Aider training.
Completing weekly fire alarm test, fire drills, monthly emergency lights test and monthly water temperature checks.
Property inspections ensuring compliance with health and safety regulations and appearance of the office to be of the highest standard.
Arranging keys and programming alarm fobs for new starters
Use tools effectively
Assisting with maintenance, development and updating of systems and procedures relating to the delivery of client work
Ensuring you are able, at an advanced level, to use the necessary tools to deliver your work, and able to train others to do so.

Desirable Criteria
It would be advantageous if you have experience in a client‑focused role within professional services, particularly where you have supported high‑net‑worth individuals. Previous experience as a Personal Assistant, Office Coordinator or similar administrative role would be beneficial, as would any background in planning or managing events. Familiarity with CRM systems is also desirable, though not essential, as full training can be provided.
