Position Overview:
An established organization is seeking a detail-oriented Participant Services Coordinator to support daily administrative operations and help ensure a high-quality service experience. This role is responsible for managing incoming communications, processing documentation, maintaining accurate records, and supporting internal workflow systems to ensure timely handling of participant-related matters.
Key Responsibilities :
• Manage incoming calls through a multi-line or automated telephone system and route inquiries appropriately
• Receive, open, date-stamp, sort, scan, and index incoming physical and electronic correspondence
• Ensure all documentation is properly uploaded and routed within established timeframes
• Maintain accurate filing of indexed document batches in accordance with retention policies
• Escalate participant-related concerns to appropriate personnel for timely resolution
• Process outgoing mail and correspondence using postage systems
• Review and process enrollment documentation, verify supporting materials, and communicate regarding incomplete or invalid submissions
• Update participant address information based on returned mail and prevent future delivery errors
• Perform general administrative and clerical duties to support office operations
• Order office supplies, assist with facility-related needs, and maintain shared office areas
• Professionally greet visitors and manage incoming deliveries
• Support special projects and additional assignments as directed by management
Minimum Qualifications :
• Minimum of one year of experience handling physical and electronic documentation in a professional office setting
• High school diploma required; associate or bachelor’s degree preferred
• Proficiency in Microsoft Office applications
• Strong written and verbal communication skills
• Excellent phone etiquette and professional demeanor
• Strong organizational skills with the ability to multi-task and prioritize effectively
• High attention to detail and strong problem-solving abilities
• Demonstrated reliability, punctuality, and consistent attendance
• Ability to manage sensitive information with integrity and discretion
• Capable of investigating issues, gathering relevant information, and resolving matters collaboratively
