Duties & Role:
• Support the Project Manager (PM) with administrative services and tasks using the Agency mandated and recommended tools:
• Support the PM with project resource management: Enter and maintain resource plans in Service Now; On behalf of the PM review and approve time cards; Monitor resource utilisation and rebalance resource plans when required; Replan resources as directed by the PM
• Support the PM with project planning: Enter and maintain work breakdown structure in Service Now; Maintain task status (progress, completion); Monitor schedule; Replan project schedule as directed by the PM
• Support the PM with risk management: Maintain risk log in Service Now; Review and update risk status; Monitor mitigating actions and follow-up on them
• Support the PM with project reporting: Collect input and prepare project status reports; Support preparation of project exception reports using Agency template; Support preparation of external project reports
• Monitor PM data quality indicators and implement/recommend actions to improve them
• Support the PM with procurement: Enter Purchase Requests (PR) for procurement of material and services
• Maintain project documentation set: Reviewing and preparing project documents using Agency templates; Recording Minutes-of-Meetings
• Any other duty delegated from the PM
Requirements:
Skill, Knowledge & Experience:
• The candidate must have a currently active NATO SECRET security clearance
• Higher vocational training in a relevant discipline with 3 years post-related experience. Or a secondary educational qualification with 5 years post-related experience.
• Work experience in administrative and coordination functions in the area of project management.
• xperience in Project Management tools, preferably Service Now.
Desirable:
• A recognized formal Project Management qualification, such as PRINCE2 or PMP. The lack of formal qualifications can be compensated by the demonstration of expertise and experience in the domain.
