1. Systems Administration

Administer C&I platforms not covered by Corporate IT. Primary platforms include (but are not limited to) the following.

Identity, Collaboration & Core Platforms

• Google Workspace (Staff & Student tenants): End-to-end administration including user lifecycle management, delegated administration models, organisational unit (OU) design, security controls, storage governance, and data retention.
• Google Workspace Security & Investigation: Use of Security and Investigation tools to support audit, incident investigation, access review, and policy enforcement, without assuming central SOC ownership.
• Google Vault: Administration of retention policies, legal holds, and eDiscovery activities in line with regulatory and institutional requirements.
• Google Cloud Platform (GCP): Governance of admin related GCP projects, service accounts, and permissions associated with Workspace administration and automation.
• Google Admin Console & Google Admin Manager (GAM): Use of administrative consoles and CLI tools for bulk operations and ongoing operational hygiene.
• Slack Enterprise Grid (SAE): Enterprise level administration and workspace governance.
• Zoom or Meet: Local SAE administration where applicable.

Device & Endpoint Management

• Apple School Manager and Jamf (macOS)
• Microsoft Intune (Endpoint Manager) and System Centre Configuration Manager (SCCM)
• Sassafras licence server (KeyServer) and usage analytics
• Operational awareness of endpoint provisioning and configuration flows, including identification of automation failures and escalation to the appropriate teams for remediation

Academic & Business Application Administration

Operational systems administration for academic and business platforms, in partnership with functional and learning teams.

• Business specific administration of Navigate student management system (SAE teacher accounts management)
• Moodle / Campus Online (shared administrative responsibilities)
• Simple Syllabus (shared administrative responsibilities)
• WebCheckout (equipment loan management system; shared administration)
• WordPress & WP Engine (student and staff homepages)
• Shared YouTube channels and Padlet

Security & Access

• 1Password (C&I specific password vaults, including SAE)
• Campus file servers (including Ethics Committee data)
• Cortex Control Panel and related endpoint and security management tooling

2. Asset & Data Integrity

• Ensure accuracy and consistency of asset records across device management platforms, SaaS systems, and the central Finance Asset Register
• Reconcile physical devices against system records to support audit, compliance, and reporting obligations
• Support end-to-end asset lifecycle activities including onboarding, transfers, decommissioning, and e-waste processing (e.g. Zolo)
• Investigate and resolve data discrepancies between IT systems and financial records

3. Software Licensing & Vendor Management

• Own procurement, renewal, and administration of C&I specific software, including SAE specific software
• Manage complex academic licensing models (shared device, named user, licence servers)
• Maintain accurate licence records, renewal calendars, and cost visibility
• Engage vendors directly for support, escalation, and compliance

This includes (but is not limited to): Adobe, Autodesk, Avid, Ableton, Jamf, Native Instruments, Maxon, ToonBoom, Unity, Unreal, Houdini, iLok-based platforms, and other discipline specific tools.

4. Risk Reduction & Documentation

• Identify undocumented systems, configurations, and operational processes
• Produce and maintain clear, durable technical documentation
• Reduce single person knowledge dependencies within the systems administration domain
• Support audit, security, and compliance activities
• Contribute to disaster recovery and business continuity planning for C&I specific platforms

5. Cross‑Division Support (C&I)

• Provide systems administration support to C&I business and functional units where corporate coverage does not exist (e.g. Sonia by Lumivero)
• Act as the operational liaison with Corporate Server and Security teams where SAE systems intersect, including coordination around SAE AWS environments hosted within the Navitas master account
• Work with Corporate IT, Digital Enablement, ITSM, Automation, Integration, and Support teams to ensure clean hand‑offs and escalation paths
• Support transition activities during system changes, restructures, or platform migrations

6. Collaboration & Ways of Working

• Work closely with IT Support Team Leads and on campus IT staff
• Partner with the Systems Integration & Automation Specialist on identity, automation outcomes, and workflow improvements
• Engage Corporate IT where required, without creating dependency gaps
• Support training and uplift of internal capability where appropriate

Essential:

• 5+ years’ experience in a hands-on Systems Administrator or Senior IT Operations role
• Strong experience administering Google Workspace and SaaS platforms at scale
• Proven experience with JAMF and endpoint management
• Experience supporting complex, non‑standard environments (education, lab, or creative technology environments preferred)
• Solid understanding of identity, access control, and security fundamentals
• Strong documentation discipline and operational rigour
• Able to bring structure and clarity to evolving environments, including documenting and stabilising complex system landscapes

Desirable:

• Experience in higher education or creative/technical teaching environments
• Exposure to Slack Enterprise Grid (multi-workspace enterprise Slack) administration
• Familiarity with GCP or AWS from a governance and operational perspective
• Experience managing academic or shared device software licensing
• Experience supporting systems outside a centralised corporate IT model.
