THE ROLE
This is a high-impact role for an intrapreneurial, natural collaborator, problem-solver, and hands-on implementer, who thrives in a small, dynamic organization. The Business Systems Analyst will lead the day-to-day execution of Canopy’s business system initiative, working in close partnership with the Head of Operations & Finance, who provides strategic direction and portfolio oversight, and coordinating support from the Operations Manager and IT Coordinator to get the work done. The role serves approximately 65 staff across the organization. We are looking for someone motivated by Canopy’s mission and the opportunity to transform core systems for greater efficiency, collaboration, and impact through combining business acumen and analytical rigour with human-centered design sensibility.
The role will focus on the operationalization of a Salesforce overhaul, the rollout of new accounting systems, and the design of accompanying tools needed for overall revenue reporting. It will also lead the development of an intranet and knowledge management platform, establish a document management infrastructure, and improve internal online communication channels across the organization.
Across each of these workstreams, the Business Systems Analyst applies design thinking and process improvement methods to identify user needs and co-design solutions with staff. They bring a change management lens to implementation — ensuring staff are engaged, enabled, and supported through transitions — and have the project management skills to coordinate delivery across workstreams.
The Business Systems Analyst partners closely with Impact teams, Development, FUNCounting, Monitoring, Evaluation, and Learning (MEL), Culture and Engagement, and external partners to ensure systems are fit for purpose, intuitive, and scalable.
This role is well-suited to someone with a passion for socio-environmental impact, who loves working with users and organizing data, and has a proven ability to co-design and deliver solutions to complex problems in a fast-paced start-up-like environment.
KEY RESPONSIBILITIES
Support organization-wide business systems improvements across key workstreams: Salesforce for fundraising and campaign data, intranet and knowledge management, document management and internal communication channels, and accounting systems.
Support the rollout and adoption of a redesigned Salesforce used by Impact and Development teams through coordinating configuration, data readiness, migration, and integrations related to Salesforce, accounting and other operational systems.
Lead the design and implement a new intranet and knowledge management platform to be used by all staff.
Coordinate the design and delivery of improved document management and online communication channels.
Support FUNCounting in revamping accounting systems and related tools.
Develop documentation, guidance, training materials, and communications that apply change management and user experience principles to drive staff adoption.

This role is best suited to candidates with 3-5 years of hands-on experience practicing business systems analysis in real organizational contexts. Candidates may meet the qualifications for this role through a combination of business systems analysis, implementation, or administration experience, or through closely related operational, data, or systems-support experience where they have supported how systems and data are used across teams.
Core Capabilities
Demonstrated experience in working with business systems (CRM, ERP, HRIS, accounting, marketing, or service platforms), including configuration, automation, reporting, and cross-system integrations.
Ability to apply design thinking to translate identified organizational and user needs into practical system releases, iterating on solutions based on feedback, while providing clear documentation and basic user support throughout.
Ability to take a whole systems view to the work, including the ability to map interdependencies across platforms, data flows, and teams.
Strong process improvement, change management, and project management skills that ensure systems do enable staff to save time, strengthen collaboration, and increase impact.
Strong data management skills, including imports/exports, formatting, deduplication, field mapping, cleanup, reconciliation, and basic spreadsheet formulas.
Experience working with role- and permission-based access models (e.g., roles, permission sets, profiles), and the ability to follow established change control and UAT processes.
Ability to maintain a high degree of discretion in all aspects of the job.
Excellent writing and verbal communication skills.
Ability to maintain a calm and professional attitude under pressure or shifting priorities.
Sound judgment and the ability to solve non-routine problems independently.
Ability to work collaboratively and independently, while supporting staff with diverse levels of technical comfort.
Related or Transferable experience

Supporting system analysis, updates, or user support in any organizational context.
Taking initiative on a complex project outside a defined role (e.g., overhauling a process, leading a data cleanup, building a solution for a volunteer initiative).
Practical data management, process documentation, or supporting team adoption of new tools.
Nice to haves (not required)
Experience supporting nonprofit data systems, including routine donor or program data updates and basic reporting.
Direct Salesforce configuration experience, including Objects, Fields, Flows, Validation Rules, and Reports/Dashboards.
Salesforce certifications (Admin, Advanced Admin, Platform App Builder) or Trailhead Superbadges.
Experience with integrations (APIs, Mailchimp, Zapier/Make) or basic SOQL.
Experience with more advanced data management through the use of SQL or R programming.
Knowledge of data governance or privacy/compliance considerations (e.g., GDPR, CPRA, PIPEDA) in a CRM context.
