We’re seeking a Business Support Lead to join our Technology & Transformation practice in either our Auckland/Tāmaki Makaurau or Wellington/Te Whanganui-a-Tara office. This is an exciting role working with our Customer Portfolio and Cyber Portfolio Leads to support and drive business activities within a growing Technology & Transformation practice. The impact you’ll make:
Reporting to our two Portfolio Leads, you will play a critical role in supporting the effective running of the portfolios.
This includes supporting the delivery of initiatives, coordinating annual business planning, facilitating monthly business performance meetings, producing reporting and coordinating key portfolio meetings and events.
This role goes beyond traditional administrative support. It is a strategic role that requires good judgement, an understanding of business performance and trends, and the confidence to work independently, including analysing data and providing insights to Portfolio Leads to support informed decision‑making.
• Opportunity to share ideas/thinking and play a key role in a large team to drive success within the portfolio.
• Helping with important internal projects and initiatives by working closely with the Portfolio Leads including preparing documents, reports, presentations and coordinating with others within the company.
• Billing and reporting: You will be responsible for coordinating the billing process for the portfolios, including running WIP reports to ensure billing is completed on time and resolving any issues that may arise. (You will also produce reporting to help analyse the portfolios’ performance.)
• Managing meetings and events: You will assist with organising and running meetings and events for the Portfolio and wider Technology & Transformation team. This will include arranging the logistics (booking external venues, AV, catering), preparing agendas and materials, and making sure everything runs smoothly on the day of the event.
• Providing general support: You will help the Portfolio Leads with other tasks related to managing the portfolio. This may include contributing to presentations, helping to implement new initiatives, and sharing ideas to  improve ways of working.
• In summary, your role as a Business Support Lead will be to provide important assistance to the Portfolio Leads supporting the effective and efficient running of the portfolios.
• You will balance operational delivery with strategic support, using data, insights and strong coordination skills to enable informed decision‑making and help the portfolios perform at their best.
Your expertise:
• Previous experience in a similar role, such as a Personal Assistant or Project Coordinator, with a professional, and approachable style.
• Confident and client focused with the ability to communicate at all levels is essential for success in this role.
• The desire to continually learn and be challenged is important in this role as is exceptional attention to detail and the creative use of initiative in forward planning.
• Strong organisational skills and comfortable managing multiple priorities while working independently.
• Understanding of the importance to exercise confidentiality, discretion and personal sensitivity in all aspects of the role.
• The ability to build a network of strong working relationships both internally and externally.
• Experience working within a professional services/large corporate environment.
• A lateral thinker with the ability to understand the context of the ask; someone  who brings a genuine interest in the business, with the confidence to suggest improvements and challenge ways of working when appropriate.
