Bookkeeping & Business Operations Associate (Property Management)

Role Overview We are looking for a sharp, systems-driven Bookkeeping & Business Operations Associate to own financial operations and provide hands-on administrative support across a property management business. This is a full-time role built for someone who thrives on recurring structure, catches errors before they become problems, and can support a busy owner and property manager without constant direction. You will be the operational backbone — keeping the books clean, the tasks on schedule, and leadership organized.
Key Responsibilities
Accounts Payable & Transaction Posting
• Enter and code AP into the expense approval system by property and category
• Post all transactions accurately and on time into ResMan
• Maintain a clean, audit-ready ledger at all times
Credit Card Reconciliation
• Pull, review, and reconcile all credit card transactions against receipts
• Proactively resolve discrepancies and missing documentation before month-end
• Post reconciled transactions into ResMan
Recurring Operational Tasks
• Run the utility bill-back process in ResMan per schedule
• Prepare and export delinquency sheets to Smartsheet
• Process deposit reconciliations and payment corrections
• Manage ongoing marketing tasks: Craigslist listings, Facebook group posts, and Locator outreach emails
Business Operations & Administrative Support
• Serve as a key operational support to the Owner, managing scheduling, follow-ups, and action items
• Support the Property Manager with day-to-day operational needs
• Keep shared systems (Drive, Smartsheet, email) organized and up to date
Required Qualifications
• Bookkeeping experience in property management, real estate, or a similarly structured operational environment (non-negotiable)
• Proficiency in ResMan or comparable property management software
• Strong AP, reconciliation, and general ledger skills with a zero-error mindset
• Comfortable functioning in a business operations capacity — responsive, organized, and trustworthy with sensitive information
• Excellent written and spoken English; able to communicate clearly with ownership and vendors
• Must have prior remote work experience, be fluent with remote collaboration tools and platforms (such as Slack, Zoom, Google Workspace, Smartsheet, or similar), and have ideally worked with US or UK-based companies. Applications without this experience will not be considered.
Preferred Qualifications
• Prior experience in a hybrid bookkeeper/admin or operations coordinator role
• Familiarity with tenant billing, utility management, or lease administration
• Experience maintaining marketing or communications cadences for residential properties
