Job Description – Bookkeeper & Administrative Finance Coordinator Location: Philippines, Colombia, Argentina, Mexico, Peru, and Guatemala (fully remote) Level: Senior Schedule: Monday to Friday, 8:00 AM – 5:00 PM EST English Requirement: C1
Role Overview The Bookkeeper & Administrative Finance Coordinator will support the transition of bookkeeping and financial operations to in-house management across multiple entities. This role combines responsibilities in Bookkeeping, Accounts Payable, Accounts Receivable, digital documentation, and general operational support. The ideal candidate has experience working with U.S. companies, strong software knowledge, and the ability to manage financial operations across multiple brands.
Responsibilities 📘 Bookkeeping & Financial Operations
• Perform daily bookkeeping tasks across multiple entities.
• Maintain general ledgers and categorize expenses.
• Assist with monthly close, reporting, tax preparation, and financial process improvements.
• Collaborate cross-functionally with senior leadership.
• 💳 Accounts Payable (AP)
• Manage vendor profiles, W9 forms, and payment preferences.
• Review and process bills for all brands.
• Prepare payment runs and track due dates.
• Address and resolve vendor inquiries. 💰 Accounts Receivable (AR) (for select brands)
• Generate invoices and reconcile AR aging.
• Monitor outstanding payments and follow up accordingly.
• Support CRM/platform integrations (e.g., HubSpot, Shopify). 📂 Administrative & Operational Support
• Maintain and organize digital documentation and contracts.
• Support onboarding of internal processes and systems.
• Help develop scalable workflows and SOPs.
• Provide operational support across teams as needed.
Minimum Requirements
• At least 2 years of experience in bookkeeping or accounting for U.S. companies.
• Proficiency with:
1. QuickBooks Online (MANDATORY)
2. Excel (advanced)
3. Google Sheets
• C1-level English (written and spoken).
• Experience with AP/AR processes and monthly closing.
• Ability to manage multiple entities and handle high-volume financial data.
